Receptionist & Content Assistant – Luxury Aesthetic Clinic

Location: Sadaf Jaffari Clinic, 8 Hollywood Rd, London, SW10 9HY
Job Type: Part-time (4–5 days per week)

Join Our Luxury Aesthetic Clinic

We are looking for an exceptional Receptionist & Content Assistant to become the welcoming face of our luxury aesthetic clinic.

This is an exciting opportunity for someone who is passionate about delivering outstanding customer service and creating a premium client experience from the moment each patient walks through our doors. Alongside providing exceptional front-of-house support, you'll also have a creative eye for capturing high-quality content that showcases our treatments, team and beautiful clinic environment, working closely with our dedicated Social Media Manager.

The ideal candidate will be professional, personable, highly organised and confident managing a busy reception while ensuring every client receives a warm, discreet and personalised experience.

Key Responsibilities

Reception & Client Experience

Welcome clients with warmth, professionalism and discretion.
Manage appointments, cancellations and diary scheduling efficiently.
Answer telephone calls, emails and online enquiries promptly and professionally.
Guide prospective clients through their journey from initial enquiry through to follow-up appointments.
Process payments and maintain accurate client records.
Support clinicians with administrative tasks and appointment coordination.
Maintain a beautiful, organised and welcoming reception and waiting area.
Promote clinic memberships, skincare products and treatment packages where appropriate.
Liaise with suppliers and assist with stock ordering.
Ensure all client information is handled confidentially and in accordance with GDPR.
Contribute to maintaining the high standards and reputation of the clinic.
Monitor and respond to enquiries across the clinic's communication channels, including social media, ensuring timely follow-up and converting enquiries into booked consultations where appropriate.
Contribute ideas to improve the client experience, clinic operations and content opportunities.

Content Capture & Marketing Support

Capture high-quality photos and videos of treatments, clinic life, team members and behind-the-scenes moments using a smartphone.
Proactively review the clinic diary and identify suitable content opportunities, coordinating filming schedules with clinicians and team members to ensure content is captured efficiently with minimal disruption.
Work closely with the Social Media Manager and Business Development Manager to provide regular, organised content for use across Instagram, TikTok and other marketing channels.
Ensure appropriate client consent is obtained before capturing any content and maintain the highest standards of professionalism and discretion.
Organise and transfer content promptly to the marketing team.
Support clinic marketing initiatives, promotions and events by capturing additional content where required.
Support the Business Development Manager with ad hoc projects, promotional campaigns and business initiatives as required.

About You

We're looking for someone who has:

Previous experience in a receptionist, front-of-house, concierge, hospitality or customer service role.
Outstanding customer service skills with a genuine passion for creating exceptional client experiences.
Excellent communication and interpersonal skills.
A polished, professional appearance.
Outstanding organisational skills and excellent attention to detail.
Confidence using Microsoft Office and appointment booking systems.
The ability to remain calm and efficient in a busy environment.
A proactive, positive attitude and willingness to support the wider team.
Confident using Instagram and TikTok, with an understanding of creating engaging content and a good eye for aesthetics, lighting and presentation.
Comfortable capturing high-quality photo and video content using a smartphone while remaining respectful of clients and clinicians.
Flexibility to adapt to changing priorities and take advantage of opportunities to create content as they arise.

Desirable

Experience within an aesthetic, cosmetic, medical, dental, wellness or luxury beauty clinic.
Knowledge of aesthetic treatments and premium skincare brands.
Experience using clinic management software.
Confidence recommending skincare products, memberships and treatment packages.
Basic knowledge of Canva or simple content organisation (not essential).
