Full job description

JOB TITLE: Autism Hub Administrator

ACCOUNTABLE

TO: Chief Officer

BASE: Louise House, Roman Road, Meole Brace Shrewsbury, SY3 9JN

HOURS: 15-22.5 hours per week

SALARY: £25,156 pro rata

PRINCIPLE PURPOSE OF THE JOB

1. This role will be based with the Shropshire Autism Hub Team within A4U.

2. The aim of the role is to support the entry point for the adult autism diagnostic pathway in Shropshire and the provision of information, advice and assistance to those currently on the waiting list and associated professionals.

3. The Autism Hub Assistant will support the processing of referrals onto the autism diagnosis pathway. The role will involve contacting and supporting individuals to complete the appropriate paperwork to go through to assessment.

4. The role will also involve inputting accurate core data into the waiting list spreadsheets, adding information to the client record data system, providing initial advice and signposting to professionals, partner agencies, families, carers and service users.

1. KEY DUTIES AND RESPONSIBILITIES

1.1 Contribute to maintaining a welcoming and supportive environment for all service users and carers. Support the registration process for entry to the adult autism diagnosis waiting list, including gathering information and maintaining accurate records via telephone, Zoom/Teams, email or face-to-face contact, in line with agreed protocols.

1.2 Assist in gathering relevant information from service users, carers and referring professionals to support the assessment and referral process. Provide information, signposting and supportive resources as directed by the team and in accordance with agreed procedures.

1.3 Through consultation with the service user, carers or referring professionals, support the assessment of needs including health, social care, and welfare issues and, in conjunction with the team, advise on the most appropriate next steps. This may include priority referral for pre-assessment support, signposting or referral to other agencies, or provision of supportive resources.

1.4 To carry out all necessary administration in relation to referral/pre-assessment casework tasks and to assist the Autism Hub Co-Ordinator in monitoring and auditing this.

1.5 Regular communication with clients, including telephone calls, letters, email, and texting, to confirm appointments and respond to ad hoc queries.

1.6 To ensure that requests for information are dealt with in line with A4U’s agreed policies, procedures, and protocols.

1.7 To be responsible for own performance management through self-management, delivery of required tasks, contractual requirements, and reporting progress.

2. MONITORING & ADMINISTRATION

2.1 Support compliance with organisational and contractual data collection procedures and reporting requirements.

2.2 Contribute to the achievement of team performance targets through the timely completion of administrative and support activities.

2.3 Contribute to the implementation and maintenance of effective and flexible systems and processes that support the needs of service users.

2.4 To support delivery of a fully integrated system by ensuring appropriate information sharing and collaborative working between A4U teams, the CWP diagnostic Team and other partners and stakeholders to affect safe, seamless, and supportive journeys for users.

3. ORGANISATIONAL RESPONSIBILITIES

At all times adhere to A4U policies and procedures, with specific reference to:

3.1 Confidentiality: ensure confidentiality at all times, only releasing confidential information obtained during the course of employment to those acting in an official capacity and with consent where necessary.

3.2 Data Protection Act and Information Governance: to comply with the requirements of the Data Protection Act and all policies and procedures relating to Information Governance and security of data.

3.5 Quality Assurance: Support A4U's Quality Assurance systems by maintaining accurate records and contributing to the continuous improvement of service quality.

3.6 Safeguarding: A4U is committed to safeguarding and promoting the welfare of children, young people and vulnerable adults and expects all staff and volunteers to share this commitment.

3.7 Lone Working: to work in accordance with the A4U Lone Working policy and procedures.

3.8 At all times adhere to contract requirements, relevant legislation, and good practice with specific reference to NICE (National Institute for Health and Care Excellence) Guidance re Autistic Spectrum Disorder in Adults: Diagnosis and Management and the National Strategy for Autistic Children, Young people and Adults: 2021 to 2026

3.9 Participate in the organisational planning processes and contribute to the establishment of A4U’s business plan.

3.10 To perform as part of the A4U team, attending and participating in regular meetings, appropriate training courses, learning opportunities and in skills sharing sessions. To maintain up to date knowledge of evidence based best practice related to the role.

3.11 To participate in induction, regular supervision and support, objective setting, and appraisal.

4. ADDITIONAL DUTIES

4.1 Assist with any ad hoc projects as required.

4.2 Undertake any other duties that are commensurate with the responsibility of the post:

In times of staff/volunteer’s shortage due to annual leave, sickness or undue pressure of work, the post holder will be expected to assist and support colleagues as appropriate.
