Overview

We are seeking a highly organised Administration Assistant to join our team. This role is vital in ensuring the smooth operation of our office functions, providing essential administrative support across various departments. The ideal candidate will possess strong computer skills, excellent communication and a proactive approach to managing daily tasks. This position offers an excellent opportunity for individuals looking to develop their administrative skills within a professional environment.

Duties

Manage incoming calls with professionalism, directing enquiries appropriately and taking accurate messages.
Maintain organised filing systems, ensuring easy retrieval of documents.
Perform data entry tasks with accuracy using Microsoft Office and in house systems.
Assist in scheduling appointments, meetings, and maintaining calendars for engineers.
Confirm attendance dates and expected arrival times of engineers with clients.
Notify customers promptly of any delays or changes.
Prepare correspondence and reports.
Ensure the office environment remains tidy and well-maintained.

Essential

Proven office experience or administrative background demonstrating organisational skills and attention to detail.
Strong organisational skills with the ability to prioritise tasks effectively.
Excellent phone etiquette and communication skills to interact professionally with clients and colleagues.
Ability to work independently as well as part of a team, demonstrating initiative and reliability.
Excellent organisational and time management skills.
Strong IT skills with confidence using scheduling software, Microsoft Outlook, Excel and business management systems.
Ability to learn and use company software.
Excellent verbal and written communication skills.
Ability to prioritise workloads and manage multiple tasks simultaneously.
High level of attention to detail and accuracy.
Ability to remain calm and make sound decisions under pressure.
Professional and customer-focused approach.
