Treatment Coordinator / Clinic Operations Coordinator

Location: Mainly based at TKC Dental – Kensington, (with flexibility required to cover Knightsbridge branch when needed)

Job Type: Full-time
Working Hours: Monday to Friday, 9:00am–5:00pm (occasional extended hours for clinic operational needs)

Pay: From £19 per hour, with progression to £20–£21 per hour depending on probation performance and assessment

About the Role

We are looking for an experienced, confident and highly organised Treatment Coordinator / Clinic Operations Coordinator to join our private dental clinic team.

This role will be mainly based at our Kensington clinic, however the successful candidate must be flexible and willing to cover our Knightsbridge clinic when required, including for staff cover, annual leave, sickness or operational needs.

This role is ideal for someone with previous TCO experience, strong admin and diary management skills, and the ability to support the smooth running of both clinic locations.

The right candidate must be KPI and revenue-driven, confident with patient conversion, and able to help the team stay focused on clinic targets, treatment bookings and delivering a premium patient experience.

Key Responsibilities:

Managing new patient enquiries via phone, email, website forms, WhatsApp and lead platforms.
Supporting patients from initial enquiry through to consultation, treatment planning and booking.
Presenting treatment plans, explaining patient journeys and supporting treatment acceptance.
Following up with leads, open treatment plans and unscheduled patients to improve conversion.
Managing and overseeing the diaries across both clinics.
Mainly covering the Kensington clinic, with mandatory flexibility to cover the Knightsbridge clinic when required.
Ensuring appointment books are organised efficiently and diary gaps are reduced where possible.
Supporting daily admin duties, patient communication, appointment confirmations and deposits.
Monitoring clinic revenue, KPIs, consultation bookings and treatment conversions.
Helping the team stay on track with agreed targets and performance goals.
Delegating tasks to team members and ensuring daily responsibilities are completed.
Overseeing daily clinic flow to ensure both clinics run smoothly and effectively.
Liaising with clinicians, nurses, reception and management to maintain a high standard of service.
Identifying missed revenue opportunities and helping improve patient follow-up systems.
Supporting a professional, organised and team-focused working environment.

What We’re Looking For

The ideal candidate will have:

Previous Treatment Coordinator experience.
Experience in a dental or private healthcare setting.
Strong sales, conversion and patient communication skills.
A KPI and revenue-focused mindset.
Excellent diary management and organisational skills.
Confidence overseeing multiple clinic diaries and daily operations.
Admin and front-of-house experience.
Managerial or clinic oversight experience.
Flexibility to work across both Knightsbridge and Kensington clinics when required.
Ability to delegate tasks and support the team in meeting targets.
A proactive, professional and solutions-focused attitude.
Strong attention to detail and ability to manage multiple priorities.

Pay & Progression

Starting pay is £19 per hour.

Following successful completion of the probation period and performance assessment, there is opportunity to progress to £20–£21 per hour, depending on experience, performance, KPI contribution, patient conversion and overall clinic support.
