This role sits at the heart of our logistics operation, working across our manufacturing business and our associated distribution company. The person in this role has a direct impact on our ability to deliver to customers on time and at the right cost.
Purpose of the Role
To manage the outbound logistics operation for Proteus Facades and its associated distribution business, ensuring finished goods are despatched efficiently, on time and at optimum cost. The role is the primary point of contact for all haulier relationships and is responsible for planning and consolidating loads, coordinating collections and deliveries, and making sure the right product reaches the right site at the right time.
Success in this role is measured by on-time delivery performance, effective load optimisation that controls haulage cost, and haulier relationships that consistently deliver reliable service.
Key Responsibilities
Haulier Management
- Maintain and develop relationships with an established panel of hauliers (currently six).
- Book collections and deliveries, allocating work to the most appropriate haulier based on route, load type and cost.
- Monitor haulier performance against cost, reliability and service standards; escalate issues where required.
- Negotiate rates and terms as required, in conjunction with the Operations Director.
- Load Planning & Optimisation
- Plan outbound loads to maximise vehicle utilisation and minimise cost, consolidating deliveries wherever possible.
- Manage a mix of full loads and part loads across multiple destinations, including construction sites nationally.
- Coordinate despatch scheduling with the production team to align with completion dates and customer deadlines.
- Identify and act on opportunities to reduce haulage cost without compromising delivery performance.
Despatch Coordination
- Work closely with the warehouse and production teams to ensure goods are ready and correctly prepared for collection.
- Confirm collection times with hauliers and communicate delivery ETAs to customers and site contacts.
- Manage the flow of product to and from third-party coaters, coordinating collections and returns in line with production schedules.
- Ensure accurate documentation accompanies all outbound loads — delivery notes, packing lists, load manifests.
Customer & Internal Communication
- Act as the first point of contact for delivery queries from customers, sites and internal teams.
- Proactively communicate any delays or changes to delivery schedules, with solutions rather than just updates.
- Liaise with Sales, Projects and Purchasing to manage lead times and despatch priorities.
- Administration & Reporting
- Maintain accurate records of all bookings, collections and deliveries.
- Track and chase proof of delivery documentation.
- Monitor and report on haulage costs against budget; flag variances promptly.
- Support the resolution of claims or discrepancies arising from transport damage or delivery failures.
- Support the implementation and ongoing use of Microsoft Business Central across logistics functions.
Skills & Experience
Essential
- Proven experience in a transport coordination or logistics planning role, ideally within manufacturing or construction materials.
- Demonstrable experience managing multiple haulier relationships and planning mixed loads.
- Strong organisational skills with the ability to manage multiple priorities simultaneously.
- Confident communicator — able to deal with hauliers, site managers and internal teams with equal clarity.
- Good working knowledge of transport documentation and despatch processes.
- Proficient in Microsoft Office; comfortable using ERP or transport management systems.
Desirable
- Valid Counterbalance Forklift Truck Licence.
- Experience in building products manufacturing and distribution.
- Familiarity with construction site delivery requirements and logistics constraints.
- Experience working across more than one business entity or site.
- Experience using Microsoft Business Central or similar ERP systems.
