Due to continued growth, we are seeking an experienced Document Controller to join our team.
DOCUMENT CONTROLLER
Role Overview
Responsible for full control, coordination, and governance of all project information across multiple live construction projects from tender through to completion and handover.
The role ensures all project teams are working from current, approved, and always verified information, with full traceability and structured control over design, technical, commercial, and handover documentation.
Advanced experience using Dalux is essential, particularly in relation to workflows, approvals, drawing control, technical submissions, RFIs, and reporting.
This is a high-accountability role requiring strong technical understanding of construction information flow, revision control, and coordination across multiple stakeholders.
Key Responsibilities
Document Control & Information Governance
- Control all incoming and outgoing project information across multiple live projects.
- Ensure all documents are correctly registered, coded, issued, tracked, and archived.
- Always maintain strict revision control, ensuring only latest approved information is in circulation.
- Maintain and manage:
Drawing registers
Document registers
Revision histories
Technical submission logs
RFI registers
Addendum registers
Tender issue trackers
- Perform structured checks on all documentation prior to issue or distribution.
- Ensure full audit trail of document activity is maintained.
- Enforce consistent naming, filing, and document status rules across all projects.
- Remove or supersede outdated information immediately upon revision updates.
Dalux System Management
- Administer and manage workflows within Dalux.
- Set up and maintain:
Drawing approval workflows
Technical submission workflows
RFI workflows
Document review routes
Distribution groups and permissions
- Monitor live workflow status and ensure timely responses and approvals.
- Track outstanding actions, approvals, comments, and submissions.
- Produce status reports showing workflow progress, bottlenecks, and overdue items.
- Ensure full traceability of all approvals and decisions within the system.
Drawing Control & Design Change Management
- Maintain live drawing registers across all projects.
- Control all drawing issue stages from design release through to construction issue.
- Carry out drawing overlay comparisons to identify:
Design changes
Revisions and scope amendments
Missing or conflicting information
Consultant updates and coordination changes
- Ensure superseded drawings are clearly identified and removed from use.
- Coordinate drawing revisions and ensure site teams receive correct updates.
- Track design information release against programme requirements.
Tender & Pre-Construction Information Control
- Manage tender document distribution to subcontractors and suppliers.
- Maintain tender issue registers and audit trails.
- Track and control:
Tender drawings
Specifications
Addendums
Clarifications
Revised documents during tender period
- Ensure all tenderers are working from the correct and latest information.
- Log all tender returns and document submissions.
- Support commercial and pre-construction teams with structured document flow.
Technical Submissions, RFIs & Coordination
- Manage technical submission registers and workflows.
- Track material approvals, samples, and manufacturer data submissions.
- Control RFI logs from issue through to closure.
- Ensure consultant responses and approvals are recorded and distributed correctly.
- Maintain structured tracking of design queries and instructions.
- Coordinate information flow between design team, subcontractors, and site teams.
O&M Manuals & Project Handover
- Lead coordination of all Operation & Maintenance (O&M) documentation.
- Collect and compile:
As-built drawings
Warranties and guarantees
Commissioning records
Test certificates
Product data sheets
Asset information
Maintenance instructions
- Review submissions for completeness and compliance prior to handover.
- Maintain handover trackers through to Practical Completion and Final Completion.
- Ensure all close-out documentation is received, verified, and issued in final format.
Project Coordination & Communication
- Coordinate with consultants, subcontractors, suppliers, and internal teams on all information requirements.
- Maintain structured logs of outstanding information, responses, and approvals.
- Attend project meetings where required and report on document status.
- Ensure site teams are always working from the latest approved information.
- Support commercial, design, and site teams with information retrieval and clarification.
Quality, Compliance & Reporting
- Maintain compliant and auditable documentation systems.
- Support internal and external audits where required.
- Ensure full traceability of design and construction information.
- Produce reports on:
Document status
Outstanding approvals
Information flow performance
Revision activity
- Support mobilisation of new projects and setup of document structures.
- Assist in improving document control procedures across projects.
Essential Requirements
- Minimum 5+ years’ experience in construction document control within a main contractor environment.
- Strong advanced experience with Dalux.
- Proven ability managing:
Drawing control and revision management
Technical submissions
RFIs
Tender documentation and addendums
O&M manuals and handover packs
- Strong understanding of construction information flow and sequencing.
- Experience carrying out drawing overlay comparisons.
- High attention to detail and structured working approach.
- Ability to manage multiple projects simultaneously.
