About the role
The Executive Assistant role combines executive support, office coordination, reception management, and business support coordination. The successful candidate will provide high-level support to executive board while helping to ensure the smooth day-to-day operation of the Head Office. We are looking for a proactive, organised, and adaptable individual with excellent attention to detail and a commitment to delivering exceptional support across the business.

What kind of person are we looking for?

Previous experience in an Executive Assistant / EA, Personal Assistant / PA, Office Manager, or Senior Administrative role.

Excellent verbal and written communication skills.

Strong organisational and time management abilities with the capability to manage multiple priorities.

High level of discretion and professionalism when handling confidential information.

Proficient in Microsoft Office applications, particularly Word, Excel, Outlook, and PowerPoint.

Ability to efficiently and effectively minute take.

Strong attention to detail and problem-solving skills.
-
Experience supporting senior management or executive leadership teams is desirable.
What you’ll be doing
Executive Support

Provide comprehensive administrative support to senior leaders.

Full diary and inbox management to help manage and prioritise workload for CEO.

Manage CEO diary, meetings, travel arrangements, accommodation bookings, and external meetings/conferences as needed.

Prepare documents, presentations, reports, and correspondence as required.

Coordinate internal meetings and take minutes on behalf of the executive team.

Maintain accurate records, filing systems, and confidential documentation.
Reception, Office Management and Business Support

Manage reception duties, acting as the first point of contact for visitors and callers.

Welcome, assist, and sign in visitors while maintaining a professional front-of-house experience.

Manage incoming and outgoing post, courier services, and deliveries.

Provide general administrative assistance to departments across the organisation.

Plan, organise and support the organisation with company events.

Arrange meetings, travel arrangements, accommodation bookings, and external meetings/conferences as needed for relevant key business functions.

Contribute to continuous improvement initiatives and administrative best practice.

Oversee office stationery and consumables ordering, ensuring effective stock control and cost management.

Identify and report health and safety concerns and work collaboratively with EQHS and relevant departments to address issues.
