Full job description

Overview -
We’re looking for a driven, highly organised Sales & Projects Coordinator to help keep projects moving smoothly from order through to completion.

Working at the centre of our Sales and Projects teams, you will ensure information is accurate, deadlines are met and each project has the correct documentation in place at every stage.

This is a varied, fast-paced role suited to someone who enjoys coordinating multiple priorities, communicating across teams and ensuring that no detail is overlooked. You will manage project records and document revisions, support order processing and handovers, and provide essential project administration throughout the customer journey.

Your contribution will play a key role in delivering a seamless, professional experience for both our customers and internal teams.

Responsibilities -

Provide administrative support to the project team from award through to completion and handover, including hotel bookings, project data entry and record maintenance.
Set up and maintain project and installation folders, schedules and associated administrative processes.
Assist with project cost tracking, invoicing milestones, purchase orders and payment follow-up.
Take responsibility for the issue, distribution and traceability of mandatory site documentation, including RAMS, O&Ms, ITPs and quality assessments.
Log, issue, distribute, track and archive project documentation, including drawings, specifications, reports, correspondence, submittals and technical records.
Manage document revisions and ensure that only current, approved versions are issued and used.
Compile complete project handover and close-out documentation.
Maintain accurate, up-to-date records of project complaints and non-conformances.
Support the Sales team by ensuring order documentation is complete, accurately stored and clearly communicated, enabling efficient order processing.
Assist with handover documentation, including drawing office requests, information collation and other sales-administration activities as required.
Process sales orders and manage order confirmations and sales-order variations.
Assist with pre-contract meetings, contract reviews and completion of customer questionnaires as required.
Comply with Langley's health and safety policies and procedures, contributing to the achievement of company objectives.
Understand and fulfil your responsibilities within the Langley Quality Management System, maintaining records in line with internal procedures, customer requirements, quality standards and confidentiality obligations.
Undertake any other duties that are reasonably required.

Essential Skills -

Confident written and verbal communication skills, with the ability to engage effectively with customers, suppliers and internal teams.
Ability to manage schedules, deadlines and multiple priorities efficiently.
Proficiency in Microsoft Office, particularly Excel, Word, Outlook and PowerPoint.
A customer-focused approach and commitment to delivering excellent service.
Ability to prioritise competing deadlines, work independently and maintain accurate records.
Experience in sales administration, project administration, document control or a comparable coordination role within an SME.
Strong organisational skills and excellent attention to detail.

Nice to Have -

Experience within the construction industry or a related sector.
Experience of project-management software, such as Monday.com.
Commercial awareness and an understanding of quotation-to-order and project-delivery processes.
Familiarity with CRM, accounting, ERP, project-management or document-management systems, such as SharePoint, Aconex, Procore or similar.
