Job Summary

We are seeking an energetic and organized Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support administrative functions to ensure smooth daily activities. Your positive attitude and attention to detail will help create a professional and friendly environment for visitors, clients, and team members alike. This paid position offers an exciting opportunity to develop your administrative skills while contributing to a dynamic team.

Duties

Greet visitors, clients, and vendors warmly and professionally, ensuring they feel valued from the moment they arrive
Answer incoming phone calls promptly using proper phone etiquette; direct calls to appropriate personnel or departments
Manage front desk operations including signing in visitors, issuing visitor badges, and maintaining security protocols
Perform data entry tasks accurately using Microsoft Office applications, Google Workspace, and QuickBooks as needed
Organize and maintain office supplies, files, and records to support efficient workflow
Schedule appointments, meetings, and conference room bookings with strong organizational skills
Assist with clerical duties such as photocopying, scanning documents, and preparing correspondence

Qualifications

Proven office experience with a strong understanding of administrative procedures
Excellent computer skills including proficiency in Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar), and data entry software
Prior clerical experience with familiarity in QuickBooks or similar accounting tools is a plus
Strong organizational skills with the ability to multitask effectively in a fast-paced environment
Exceptional phone etiquette and communication skills to interact confidently with diverse groups of people
Typing speed and accuracy to handle correspondence and data entry efficiently
Knowledge of office equipment such as printers, scanners, and phones is preferred
