Overview

The Regents Theological College is seeking a highly organised and proactive Executive Assistant to support the Principal and Director of Training. This paid role offers an excellent opportunity for an individual with strong administrative skills to contribute to the smooth operation of the college’s executive functions. The successful candidate will play a vital role in managing schedules, coordinating communications, and ensuring efficient office operations within a faith-based academic environment.

Duties

Manage and maintain the Principal’s and Director of Training’s calendars, scheduling appointments, meetings, and events with precision.
Prepare and organise correspondence, reports, and presentations using Microsoft Office and Google Workspace tools.
Handle incoming calls with professional phone etiquette, directing enquiries appropriately and taking detailed messages when necessary.
Assist with data entry tasks, maintaining accurate records within college databases such as QuickBooks and other organisational systems.
Support financial administration by processing invoices, expenses, and other financial documents using QuickBooks or similar programmes.
Organise travel arrangements, accommodation bookings, and event logistics for college functions or training programmes.
Provide general administrative support including filing, photocopying, and maintaining office supplies to ensure an efficient working environment.
Liaise effectively with staff, students, external partners, and visitors to foster positive relationships aligned with the college’s values.

Skills

Proven administrative experience with a strong organisational aptitude.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Calendar).
Experience with data entry and clerical tasks ensuring accuracy and attention to detail.
Familiarity with QuickBooks or similar financial management software is desirable.
Excellent organisational skills with the ability to prioritise tasks effectively in a busy environment.
Strong typing skills coupled with good phone etiquette for professional communication.
Office experience that demonstrates the ability to handle multiple responsibilities efficiently under minimal supervision.

This role requires a dedicated individual committed to supporting the college’s mission through exceptional organisational skills and professional conduct. The successful candidate will be integral to maintaining the high standards of administration expected at Regents Theological College. Please note: Due to the requirement for onsite colledge operational requirements and face to face accessibility , flexible working arrangements may not be suitable for the Executive Assistant role. However, any request would be considered on an individual basis in line with the statutory flexible working procedure.
