Full job description

Part-Time | 2 Days per Week | Potential to Increase

We are a busy and growing serviced accommodation management agency looking for a reliable, organised and proactive Freelance Administrative Assistant to support the day-to-day administration of our business.

We manage short-term and serviced accommodation properties and work with property owners, guests, contractors, suppliers and corporate clients. This is a varied role requiring someone who is organised, comfortable with figures and spreadsheets, and confident communicating with people.

The position is initially around two days per week, with the potential to increase hours, days and responsibilities as the role develops.

Key Responsibilities

General administrative and office support
Data entry and maintaining accurate business and property records
Assisting with the preparation of monthly reports
Creating, updating and maintaining Excel spreadsheets
Collating booking, property and financial information
Managing and responding to emails
Making and receiving telephone calls from clients, suppliers and contractors
Carrying out online research and gathering information
Organising documents and electronic records
Assisting with invoices and general record keeping
Supporting the management team with day-to-day administrative tasks
Assisting with property and serviced accommodation-related projects
Other ad-hoc administrative duties as required

About You

We are looking for someone who is:

Reliable, organised and professional
Accurate, with excellent attention to detail
Confident using Microsoft Excel, Word and email
Comfortable working with spreadsheets, figures and data
Confident and professional when communicating by telephone and email
Able to work independently and manage their own workload
Comfortable carrying out online research
Able to follow instructions while also using their own initiative
Fluent in written and spoken English
Willing to learn and take on additional responsibilities over time

Previous administrative experience is preferred. Experience within property management, serviced accommodation, hospitality, lettings or a similar environment would be an advantage but is not essential.

Reliability, accuracy, common sense and a willingness to learn are particularly important to us.

Working Arrangement

Freelance / self-employed position
Initially approximately 2 days per week
Regular, ongoing work
Potential to increase days and hours in the future
Opportunity to take on greater responsibility as the business grows

This position would suit an experienced freelancer looking for regular and ongoing administrative work, or someone with strong administrative skills who would like to develop their experience within the property and serviced accommodation industry.
