Full job description

Job Overview

We are seeking a dynamic and organised Medical Receptionist/Administrator to join our healthcare team. In this vital role, you will be the first point of contact for patients and visitors, ensuring a welcoming and efficient experience. You will manage appointment scheduling, handle administrative tasks, and support the smooth operation of the medical practice. Your proactive approach and attention to detail will contribute significantly to delivering exceptional patient care and maintaining an organized clinic environment.

Duties

Greet patients and visitors warmly, creating a positive first impression
Schedule, confirm, and reschedule patient appointments using clinic management software
Manage incoming phone calls, inquiries, and patient communications promptly and professionally
Maintain accurate patient records, update personal information, and ensure confidentiality
Offer general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone
Assist with administrative tasks such as filing, scanning, and data entry
Coordinate with medical staff to ensure smooth daily operations and patient flow
Facilitate effective communication between patients, members of the primary health care team, secondary care and other associated healthcare agencies
Maintaining and monitoring the practice appointments system
Processing personal and telephone requests for appointments, visits and telephone consultations, and ensuring callers are directed to the appropriate healthcare professional

Skills

Strong organisational skills
Previous administrative experience in a healthcare setting is not essential but highly desirable
Excellent communication skills—friendly, clear, and professional in all interactions
Ability to multitask effectively in a fast-paced environment
Proficiency with office software such as MS Office Suite
Attention to detail with a focus on accuracy and confidentiality
Positive attitude with a proactive approach to problem-solving
Excellent team working skills
