Administrator

Required for Lower Thames Crossing Project, Thurrock – 37.5 hours per week

Salary £30,012 - £30,892

Oxford Archaeology is one of the largest independent archaeological practices in Europe. Our size and reputation ensure that we work on the most exciting and varied projects and can offer real opportunities for long-term employment and career development. We have offices in Cambridge, Lancaster and Oxford and are a registered heritage charity.

The position:

We are seeking to appoint an experienced administrator to assist with our work on the Lower Thames Crossing project. This role is offered on a 9 month Fixed-Term Contract to be based on site in Thurrock.

Duties:

· Liaising with Project Managers and Project Officers to ensure that each site submits their Allocation Sheet for the previous day by 2pm each day and consolidating the Allocation Sheets into one Allocation Sheet.

· Reviewing the consolidated Allocation Sheet to determine any inconsistent data and clarifying with Project Managers and Project Officers before submitting for review.

· Advising Project Managers and Project Officers of corrections needed to the Allocation Sheets.

· Sorting the documents generated at each site for the previous week, scanning and filing (both electronically and physically).

· Providing back up to the Office Administrator for managing arrangements and allocation of temporary accommodation and servicing travel requirements for project staff.

· Providing back up to the Office Administrator to ensure accurate time recording through the processing of weekly timesheets. This will include collating and checking documentation, keeping up to date records, liaison with various LTC teams.

· Providing back up to the Office Administrator for booking inductions and organising temporary worker and visitor passes.

· Undertaking administrative tasks associated with office operations and in support of the fieldwork team.

· Supporting and liaising with the relevant Project Officers or Senior Project Managers and liaison with the Fieldwork Teams as appropriate.

· Working with due regard to health and safety in relation to relevant documentation including Risk Assessments.

· Taking responsibility for self-development and to improve personal performance.

· Undertaking delegated tasks from the Management Team and Office Administrator.

Knowledge and Skills Required:

Essential

· Excellent communication skills with the ability to negotiate effectively, and liaise appropriately with clients, suppliers, visitors and colleagues at all levels.

· Good time management skills with ability to prioritise effectively within a reactive environment.

· Ability to work with a high standard of accuracy and high level of confidentiality

· Pragmatic approach to problem solving and decision making, and ability to use initiative.

· Ability to work both as part of a team and independently, ideally with experience of line management of a team.

· Experienced user of MS Word and Excel, and confident user of ICT.

· Experience of facilities/office management including compliance with Health and Safety legislation.

· Full driving licence.

Desirable

Experience working in a similar industry- including construction site work, plant, and welfare.
Previous experience in project /operations administration or logistics work.
