Company Description

Architectural practice based in North Bristol.

Job Purpose

The purpose of the post is to ensure the smooth running of the Bristol Office and to provide day-to- day administrative and financial support to the Partners and staff on a wide range of administrative tasks. The Office Manager also liaises with the Finance Manager and wider Team at the Oxford and Cambridge offices, providing financial and administrative data to strict month end deadlines.

All offices use Rapport Management Software which is designed for the integration of data for staged design and construction projects and finance. Rapport is internet-based and is linked to the Oxford/Cambridge offices along with the Sage 50 Accounts Software used by the Accounts Team. This allows collaboration between the Finance Team and Architects at all offices to create budget plans and to enter and monitor actual costs on each project. The Office Manager is responsible for the smooth running of the Bristol office administration processes.

Key Duties

1. Administration – Greet visitors and offer refreshments. Answer external telephone calls and take messages as required. Deal with incoming and outgoing mail and deliveries. Assist with typing and formatting of documents and reports. Proof-read Design & Access statements, practice profiles, CVs, presentations, policies as necessary. Order stationery, office materials and equipment. Make all travel bookings (trains, flights, hotels) as necessary and book hire cars as required. Attend weekly Programming Meetings and report on own scheduled weekly workload. Create project files with QA folders (paper and electronic). Update the Rapport contacts database. Archive files of completed projects. Monitor staff emails during holiday periods. Read gas, electricity, and printer meters and submit each month. Ensure server is backed up monthly and back up tapes are stored off-site. Liaise with Oxford Office on Finance, Admin and IT, Health & Safety etc.

2. HR – Assist with staff recruitment, carryout staff inductions and training. Supply payroll information to Oxford office.

3. Finance Support –

· Fee Invoicing – produce Fee Invoices monthly for the Partners and issue to clients for payment.

· Enter project related expenses on to Rapport. Pay project expenses by credit card as required (planning fees, utilities searches, etc.) and ensure recharges to clients.

· Reconcile credit card statements with receipts for self and Partners monthly and enter on to Rapport.

· Complete own and Partners expenses monthly and submit them on Rapport.

4. Tenants – Liaise with sub tenants regarding any issues or queries that they may have to do with maintenance.

5. CPDs – Organise/buy lunch and set up room. Ensure Finance is sent receipt for lunch so cost can be recharged/invoiced to company.

6. Marketing – Arrange client events such as golf days and drinks receptions.

7. Facilities – Monitor garden/car park, lighting, kitchen appliances, refuse collection. Supply keys for new staff, monitor recycling. Health & Safety checks including the maintenance of the burglar and fire alarms, and fire extinguishers. Maintain kitchen/sustenance supplies.

8. Driving – drive locally for post office/banking and purchasing of CPD lunches.

9. Bids/Portals – Assist all/any of the Partners with production of bid documents, pre-qualifications, tender submissions and Approval Lists as required. Check website Tenders Direct and others including Gov.Uk for notifications and circulate any relevant bid opportunities to the partners. Keep tender portals up to date with OA practice information. Register for bid opportunities and download bid documents. Complete standard questions and assist with specific questions. Proof-read bid documents and submit online. Monitor and update the bid info records as necessary. Monitor and update business portals such as Constructionline.

Other Duties, as the role develops, may also include

10. Carry out any other tasks or duties at the reasonable request of the Partnership.

Reporting: Direct report to the Partners at the Bristol Office.

Qualifications

Proficient in Microsoft Office Suite
Excellent written and verbal communication skills
Strong organizational and time management skills, with the ability to prioritize and manage multiple tasks simultaneously
Ability to work independently and in a team environment
Prior experience in office administration or management is preferred
