We are looking for a Team Administrator to join our Wills, Trusts & Probate team, providing high-quality administrative support to help ensure the smooth running of the department.

This is a fantastic opportunity for someone who enjoys organisation, client interaction and working as part of a collaborative team. You'll play an important role in supporting fee earners and colleagues while helping us deliver an exceptional service to clients during some of life's most important moments.

What do we need?

We're looking for a reliable and highly organised Team Administrator to provide efficient administrative support across the Wills, Trusts & Probate department.

You will be responsible for maintaining accurate records, supporting client communications, managing documentation and assisting with a wide range of administrative processes. You'll have excellent attention to detail, strong organisational skills and the ability to manage multiple priorities while maintaining the highest standards of confidentiality.

This role would suit someone who enjoys working independently, takes pride in producing accurate work and is committed to providing excellent service to both clients and colleagues.

Key Accountabilities:

Maintain accurate and up-to-date filing systems to support efficient departmental working practices.
Update and maintain departmental databases, spreadsheets and client records.
Support effective file and document management processes across the department.
Ensure work undertaken is appropriate to your experience and workload, raising any concerns when required.
Provide administrative support to fee earners and colleagues within the team.
Assist with holiday cover and provide ad hoc support across the department when needed.
Handle client enquiries by telephone in a professional and courteous manner.
Support clients with enquiries relating to document storage and retrieval.
Liaise with clients regarding appointments, meetings and the release of original documentation.
Ensure databases relating to original documents are kept accurate and up to date.
Assist with the preparation and delivery of client invoices.
Support the transfer of client funds where directed and in accordance with procedures.
Assist with file closure processes and ensure records are completed accurately.
Maintain confidentiality and data security at all times.
Proactively seek opportunities to develop knowledge and skills.

Key Skills and Experience:

We're looking for someone who:

Has previous administrative experience, ideally within a professional services environment.
Demonstrates excellent organisational and time management skills.
Is comfortable working independently and using their own initiative.
Has strong data entry and record-keeping skills with a high level of accuracy.
Possesses excellent written and verbal communication skills.
Has exceptional attention to detail and takes pride in producing high-quality work.
Is able to manage multiple tasks and priorities effectively.
Demonstrates trustworthiness, reliability and professionalism.
Has outstanding interpersonal skills, including empathy, kindness and patience when dealing with clients.
Is confident working with databases, spreadsheets and digital systems.
Works collaboratively and supports colleagues when needed.
Holds a full clean driving licence (preferred).
Is committed to maintaining the highest standards of client service and confidentiality.
