Reporting to: Estimating Manager
Role Overview
The Estimating Administrator will provide comprehensive administrative and coordination support to the Estimating Team, ensuring the smooth management of tender documentation, opportunities, and submissions from initial enquiry through to bid close.
This is a key role within the pre‑construction function, helping the business identify opportunities, maintain high-quality tender submissions, and support project teams through to handover.
Key Responsibilities
Tender & Document Control
- Manage incoming tender documentation, ensuring all information is logged, stored, and distributed accurately.
- Maintain organised filing systems (electronic and hard copy) for all tender-related documentation.
- Format, update, and control tender documents to ensure compliance and consistency.
Tender Portals & Opportunities
- Monitor and manage multiple tender portals daily to identify suitable opportunities.
- Present opportunities to the Estimating Manager with clear summaries and recommendations.
- Maintain tender trackers, bid registers, and reporting logs to track live and pipeline opportunities.
- Track tender deadlines and ensure the team is aligned to key submission dates.
Pre‑Qualification & Bid Support
- Support the completion of Pre‑Qualification Questionnaires (PQQs), ITTs, and related submissions.
- Compile supporting information including company data, case studies, CVs, and compliance documents.
- Assist with the preparation of tender submission packs and ensure all required documentation is included and accurate.
Estimating Team Support
- Assist estimators with general administrative tasks and document preparation.
- Print and organise drawings, specifications, and tender packs for estimating use.
- Coordinate communications between estimators, project teams, and external stakeholders.
- Maintain tender calendars and arrange meetings where required.
Initial Tender Preparation
- Prepare initial tender documentation and set up project files.
- Collate information required for pricing, submissions, and bid reviews.
- Ensure all tenders are prepared in line with company standards and submission requirements.
O&M Manual & Project Support
- Provide administrative support in the compilation of Operation & Maintenance (O&M) manuals.
- Assist project teams with document collation at handover stage.
Skills & Experience
Essential
- Previous experience in an administrative role (construction or engineering environment desirable)
- Strong attention to detail and accuracy in handling documentation
- Excellent organisational and time management skills
- Confident user of Microsoft Office (Excel, Word, Outlook)
- Strong communication skills – both written and verbal
Desirable
- Experience with tender portals or procurement systems
- Knowledge of construction or M&E environments
- Familiarity with systems such as Procore or similar
