Monday to Friday (with flexibility when required)

About the Role

We are looking for an organised, proactive and highly professional Personal Assistant to support our Managing Director within a fast-paced construction business. This is a varied role requiring exceptional organisational skills, discretion and the ability to manage multiple priorities while maintaining a high level of accuracy.

The successful candidate will play a key role in ensuring the smooth running of the Director's day-to-day activities and supporting the wider business with administrative and project coordination tasks.

Key Responsibilities

Manage the Director's diary, appointments and meetings.
Organise travel arrangements, accommodation and itineraries.
Screen telephone calls and emails, responding where appropriate.
Prepare correspondence, reports, presentations and meeting agendas.
Take accurate minutes during meetings and distribute action points.
Coordinate meetings with clients, contractors, suppliers and consultants.
Maintain confidential records and company documentation.
Monitor project deadlines and assist with programme scheduling.
Assist with tender submissions and document preparation.
Liaise with site managers to obtain project updates.
Manage office supplies and general administrative duties.
Maintain filing systems, both electronic and paper-based.
Ensure compliance documentation is up to date, including Health & Safety records.
Assist with invoice processing and purchase orders.
Support marketing activities, social media updates and company communications where required.
Handle confidential information with professionalism and discretion.
Undertake additional duties as required by senior management.

Skills & ExperienceEssential

Previous experience as a Personal Assistant or Executive Assistant.
Excellent organisational and time management skills.
Outstanding written and verbal communication skills.
Ability to prioritise workload and work under pressure.
High level of confidentiality and professionalism.
Excellent attention to detail.
Strong Microsoft Office skills (Word, Excel, Outlook and PowerPoint).

Desirable

Experience within the construction or property sector.
Knowledge of construction terminology and project processes.
Experience using project management software.
Understanding of Health & Safety documentation.
