About the Role

As Purchasing & Inventory Administrator you will report to the Purchasing & Inventory Manager, and are responsible for maintaining inventory records, processing purchase orders, monitoring stock levels, and coordinating with internal and external suppliers to ensure the timely and cost-effective procurement of products and materials. The role supports operational efficiency by maintaining accurate stock control and purchasing processes.

KEY RESPONSIBILITIES

Purchasing Responsibilities

· Raise and process purchase orders in line with company procedures.

· Monitor supplier performance, delivery schedules, and lead times.

· Resolve issues relating to orders, deliveries, shortages, and invoice discrepancies.

· Liaise with internal departments to understand purchasing requirements and priorities.

· Support cost-saving initiatives and continuous improvement activities.

· Ensure compliance with procurement policies and budget controls.

Inventory Management Responsibilities

· Maintain accurate inventory records within the stock management system.

· Monitor stock levels and replenish inventory to avoid shortages or overstocking.

· Support stock counts, cycle counts, and inventory audits.

· Investigate and reconcile stock variances.

· Manage goods receipt processes and ensure inventory is correctly booked into stock.

· Monitor slow-moving, obsolete, and excess inventory.

· Coordinate stock transfers between locations as required.

Administrative Responsibilities

· Maintain accurate purchasing and inventory documentation.

· Generate reports on stock levels, purchasing activity, supplier performance, and inventory accuracy.

· Process goods received notes.

· Respond to internal enquiries relating to orders, deliveries, and stock availability.

· Update and maintain ERP/MRP systems and databases.

Key Skills & Competencies

· Strong organisation and attention to detail.

· Excellent administrative and data-entry skills.

· Proficiency in Microsoft Excel and inventory management systems.

· Good numerical and analytical skills.

· Strong communication and supplier relationship management abilities.

· Ability to prioritise workloads and meet deadlines.

· Problem-solving and decision-making skills.

· Knowledge of purchasing, supply chain, and inventory control processes
