Executive Assistant & Business Operations Coordinator

Future Pro Academy – Coventry
Full-Time | Permanent

About the Role

Future Pro Academy is looking for a highly organised, proactive and professional Executive Assistant & Business Operations Coordinator to join our growing team.

This is a business-wide role, working closely with the Managing Director, Senior Leadership Team and wider Football, Education, Recruitment and Operations teams.

The successful candidate will support the day-to-day coordination of the business across Further Education (FE), Higher Education (HE), International Programmes and Football Operations, helping ensure departments communicate effectively and key priorities are delivered.

Key Responsibilities

Provide executive and operational support to the Managing Director and senior team.
Coordinate meetings, schedules, actions, deadlines and key business priorities.
Work across FE, HE, International and Football Operations to support the smooth running of the academy.
Coordinate communication between departments, staff, players, parents and external partners.
Support player recruitment, onboarding, trials, arrivals and international programmes.
Assist with education administration, reporting, records and key deadlines.
Support football operations, fixtures, events, tournaments and academy activities.
Assist with projects, presentations, reports, documentation and business administration.
Maintain accurate records, databases and operational systems.
Support invoices, payments, contracts and general administrative processes.
Liaise with education providers, football clubs, agents, international partners and other external organisations.
Identify issues, take ownership and ensure actions are followed through.

About You

We are looking for someone who is:

Highly organised with excellent attention to detail.
Proactive and able to use initiative.
Confident managing multiple priorities and deadlines.
An excellent communicator, both written and verbally.
Professional, reliable and trustworthy.
Comfortable working with senior staff and external stakeholders.
A strong problem solver who takes ownership.
Confident using Microsoft Office / Google Workspace and business systems.
Able to work effectively in a fast-paced football and education environment.

Previous experience in executive support, business administration, operations, education, sport or a similar environment is desirable.
