Job Title: Lettings Manager
Reports To: Group Operations Managers / Group Managing Director
Location: Newton Fallowell Grantham – Office & Field Based
Direct Reports: Property Manager(s), Viewing Representative (where applicable)
Position Summary
The Lettings Manager is responsible for leading and developing the lettings department, driving profitable growth across both new business and portfolio management. The role focuses on winning new instructions, increasing managed stock, maximising income opportunities and delivering exceptional customer service to landlords and tenants.
Working closely with the Operations Managers & Group MD, the Lettings Manager will lead by example, ensuring the team consistently delivers outstanding service while maintaining full compliance with current legislation, company processes and industry best practice.
The successful candidate will have a strong commercial mindset, excellent leadership skills and a passion for helping people move.
Principal Responsibilities
1. Business Development & Growth
- Generate new landlord instructions through proactive canvassing, networking and relationship building.
- Conduct market appraisals and convert valuations into instructions.
- Increase the branch's Fully Managed portfolio through effective sales techniques.
- Develop relationships with local investors, developers and landlords.
- Maximise opportunities from website, portal and telephone enquiries.
- Work closely with the sales department to identify landlord opportunities.
- Promote all additional revenue streams including:
- Rent Protection
- Legal Expenses Insurance
- Property Referrals
- Mortgage Services
- Conveyancing
- Utilities
- Financial Services
- Monitor competitor activity and local market conditions.
- Produce weekly and monthly performance reports for the Operations Managers/ Group MD.
2. Team Leadership & Performance
- Lead, motivate and inspire the lettings team to achieve branch objectives.
- Set individual targets and monitor performance through regular one-to-one meetings.
- Deliver coaching, mentoring and on-the-job training.
- Identify development opportunities and support career progression.
- Conduct annual performance reviews.
- Assist with recruitment, induction and onboarding of new team members.
- Create a positive, high-performing culture focused on customer service and results.
3. Customer Experience
- Deliver exceptional service to landlords and tenants throughout the customer journey.
- Handle complaints professionally and seek positive resolutions.
- Ensure prompt responses to all enquiries.
- Build long-term relationships with clients to encourage repeat business and referrals.
- Maintain excellent communication throughout the letting process.
- Support property managers where required to ensure high levels of landlord satisfaction.
4. Operational Management
- Ensure all properties are marketed to the highest standard.
- Monitor pipeline progression from instruction through to move-in.
- Manage team diaries to maximise productivity.
- Ensure all CRM systems are accurately maintained.
- Maintain excellent record keeping.
- Monitor key business statistics and identify improvement opportunities.
- Ensure company standards are maintained across the office.
5. Compliance & Risk Management
The Lettings Manager will ensure the branch operates in full compliance with current legislation including but not limited to:
- Renters' Rights Act
- Tenant Fees Act
- Right to Rent
- Anti-Money Laundering Regulations
- Data Protection (GDPR)
- Consumer Protection Regulations
- Property Ombudsman Code of Practice
- Deposit Protection requirements
- Gas Safety Regulations
- Electrical Safety Standards
- EPC Regulations
- Smoke & Carbon Monoxide Regulations
Responsibilities include:
- Ensuring all legal documentation is completed correctly.
- Maintaining compliance records.
- Supporting audits and compliance reviews.
- Keeping the team updated on legislative changes.
- Ensuring landlords receive accurate advice.
- Working closely with the Property Management team to minimise risk.
6. Marketing
- Work with the Branch Director to implement local marketing initiatives.
- Maintain a strong presence across social media platforms.
- Build relationships with local businesses.
- Attend networking events where appropriate.
- Promote the Newton Fallowell brand within the local community.
- Maximise online exposure across Rightmove, Zoopla and social media channels.
7. Financial Performance
- Drive branch profitability.
- Monitor departmental budgets.
- Maximise fee income.
- Improve average fee levels where possible.
- Increase managed portfolio profitability.
- Identify opportunities for operational efficiencies.
- Deliver monthly KPI reports.
Experience & Skills Required
Essential
- Minimum 3 years' experience within residential lettings.
- Previous valuation experience.
- Proven ability to win instructions.
- Strong knowledge of current lettings legislation.
- Excellent communication skills.
- High levels of organisation and attention to detail.
- Commercial awareness.
- Full UK Driving Licence.
- Ability to work under pressure.
- Excellent customer service skills.
- Good IT skills including CRM systems.
Desirable
- Previous management experience.
- ARLA Propertymark qualified (or working towards).
- Experience using Street CRM (or similar estate agency software).
- Experience managing a fully managed portfolio.
