Full job description

Key responsibilities:

Daily/Weekly:

· Involved in the day to day running of the AP process from invoice logging with correct VAT, to disputes, and CN’s through our systems – SAP & Sales force.

· Logging card payments daily on google sheet & in SAP

· Preparing the weekly chasing of AP Invoices for cash/proforma sales made

· Processing approved refunds & voids on Ecommpay & salesforce

· Prepare payment runs twice a month and send to director for processing.

· Book expenses for payment processing

· Cover the daily banking where needed

· Regular review of aged supplier accounts to identify & resolve issues

· Management of accounts inbox on a team rota

· Check & pay BACS payments for supplier proformas as requested

Month End:

· Prepare and reconcile the Prepayments schedule to SAP ensuring all new invoices logged correctly. Process the prepayments journal for approval.

· Prepare monthly accrual rebate accrual

· Prepare the report for Open PO’s over 3 months old. Review and send to sales & operations for escalation incl Closure of PO’s.

· Assist with reconciling bank & credit card accounts in SAP to statements as needed

· Testing of SAP enhancements that affect accounts team

· Creation of new supplier accounts in SAP with correct information

· Adhering to standard account practices around separation of duties, and approval of payments

· Support annual Audit

· Ensuring payment policies are enforced for use of cards & BACS

· Comply & enforce GDPR rules

Essential experience:

· Experience with SAP is desirable

· Studying towards AAT/ACCA/CIMA qualification or equivalent.

· Fully PC literate with working knowledge of Outlook, and intermediate skills with Microsoft Excel/Google sheets with the ability to analyse and manipulate data

· Attention to detail and good time management skills

· A proactive & positive attitude and able to look for improvements to processes

Strong communication skills and comfortable working with sales teams.
