Job Summary

We are seeking a highly organised and detail-oriented Administration Assistant to support our team with a variety of clerical and administrative tasks. The successful candidate will play a vital role in maintaining smooth office operations, managing data entry, and providing excellent customer service. This paid position offers an excellent opportunity for individuals looking to develop their administrative skills within a professional environment. The role requires proficiency in office software, strong organisational abilities, and excellent communication skills.

Responsibilities

Managing incoming calls with professional phone etiquette and directing enquiries appropriately
Organising and maintaining files, records, and documentation both digitally and physically
Performing data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks
Assisting with scheduling appointments, meetings, and calendar management for team members
Preparing correspondence, reports, and presentations as required
Supporting the team with general administrative duties such as photocopying, scanning, and filing
Ensuring the office environment remains tidy and well-organised at all times
Handling basic bookkeeping tasks and processing invoices or payments when necessary
Assisting with customer enquiries via email or phone in a courteous manner

Experience

Previous office experience or clerical experience is preferred but not essential; training will be provided
Proficiency in computer skills including Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Docs, Sheets), and basic QuickBooks knowledge is desirable
Strong organisational skills with the ability to prioritise tasks effectively
Excellent typing skills for efficient data entry and document preparation
Good communication skills with a professional phone manner and attention to detail
Ability to work independently as well as part of a team in a fast-paced environment
