About the Role

This is an important opportunity to support effective records management across Bradford Children and Families Trust. The Records Management Coordinator will help ensure that the Trust manages digital and physical records safely, consistently and lawfully throughout their lifecycle.

You will support the delivery and ongoing operation of the Trust’s records management framework, including retention schedules, archiving processes, secure storage, retrieval, disposal, digitisation and the maintenance of accurate records inventories. The role will also provide advice and guidance to staff on good records management practice, helping services improve records quality, classification, naming conventions and version control.

This role is well suited to someone who is highly organised, accurate and confident handling sensitive information. You will work with colleagues across the Trust to support compliance with GDPR, information security requirements and records lifecycle standards, while contributing to continuous improvement in how information is managed.

You’ll also:

Support the delivery and ongoing operation of the Trust’s records management framework across digital and physical records
retention and disposal schedules, supporting lawful record keeping and defensible deletion.
Provide specialist advice on children’s records, historic records and long-term archiving arrangements.
Support secure storage, retrieval, archiving, disposal and digitisation of records.
Maintain an accurate inventory of record holdings
Work with services to improve records quality, classification, naming conventions and version control, including across SharePoint and other digital systems.
Provide records management advice when new systems, processes or service changes are introduced.
Carry out records audits and quality checks, escalating risks and contributing to mitigation actions.
Support Information Asset Owners and service leads to meet their responsibilities under the Trust’s Information Governance Framework.
Contribute to ROPA maintenance, information mapping and organisational readiness for FOI, SAR and litigation through effective information retrieval.
Provide advice, guidance and training to staff to promote good records management practice

To be successful in this role you will need:

A Level 3 qualification or equivalent experience.
Experience working in records management, information governance or administrative governance roles.

An understanding of records management standards and GDPR principles.
Strong organisational and analytical skills.
The ability to manage competing priorities and deadlines.
The ability to handle sensitive information appropriately.
Good communication skills and the ability to provide clear advice and guidance to colleagues

This is a hybrid working role, with a minimum of 2 days per week in the office.
