As Event Coordinator, you'll play a pivotal role in ensuring our events run seamlessly, acting as the main point of contact for clients, suppliers and internal stakeholders. From board meetings and hospitality experiences to large-scale internal events, you'll be at the heart of creating memorable experiences for our clients and guests.
We're seeking a highly organised and proactive individual who can confidently manage multiple priorities while maintaining exceptional attention to detail. Most importantly, you'll be someone who enjoys rolling up your sleeves, taking ownership and making things happen.

What You'll Do:

Planning, coordinating and delivering internal events across the Royal Academy of Arts

Building strong relationships with clients, Academy teams, suppliers and operational colleagues

Managing event logistics, catering requirements and venue preparations
-
Coordinating staffing, equipment, deliveries and operational resources
-
Supporting internal meetings with catering setup, drop-off services and post-event clearances
-
Monitoring event budgets and supporting financial reconciliation processes

Maintaining accurate event schedules and communicating updates across teams
-
Ensuring all events are delivered safely and in line with health and safety standards

Producing post-event reports and identifying opportunities for service improvement

Maintaining accurate event records and operational documentation

What You Bring:
-
Previous experience in event coordination, hospitality or catering operations
-
Strong food and beverage knowledge and operational understanding
-
Excellent organisational and multitasking skills
-
Outstanding communication and stakeholder management abilities
-
Experience managing event administration and budget tracking
-
A solution-focused approach and the ability to remain calm under pressure
-
High levels of accuracy and attention to detail
-
Strong proficiency in Microsoft Office, including Excel, Teams and PowerPoint
-
Experience using event management systems (Thynk experience would be advantageous)
-
A genuine passion for delivering exceptional customer experiences
