Full job description

Job Summary

We are seeking a dynamic and highly organised Senior Events Administrator to lead the planning, coordination, and execution of a wide range of events. This role offers an exciting opportunity to oversee event logistics, enhance guest experiences, and contribute to the success of our organisation’s community engagement and fundraising initiatives. The ideal candidate will possess exceptional organisational skills, strong communication abilities, and a passion for creating memorable events that foster connections and drive results. This paid position is perfect for someone with a background in hospitality, hotel management, or restaurant operations who thrives in fast-paced environments and excels at multitasking.

Key Responsibilities

Event Planning and Delivery

Lead the planning and delivery of Textile Institute events portfolio, ensuring they are organised and administered efficiently, and delivered to a high professional standard.
Act as the main point of contact for event venues, suppliers, and external partners throughout the planning process.
Lead the delivery of the Textile Institute World Conference, working closely with conference partners to monitor timelines and ensure branding and event requirements are met.
Coordinate venue bookings, accommodation, travel, catering, audiovisual requirements and delegate logistics.
Prepare and administrate all event documentation including but not limited to schedules, attendee lists, speaker information, delegate packs, and briefing notes.
Attend Institute events to oversee on-site delivery, including delegate registration, supplier coordination and ensuring the smooth running of the event.
Collect delegate feedback and prepare post-event reports, identifying opportunities for continuous improvement.
Maintain accurate event records, budgets, and project plans.

Event Marketing and Communications

Plan and deliver the promotion and marketing of events through email campaigns, social media, and the Institute website.
Create engaging event content for newsletters, member and subscriber communications and digital channels.
Design and produce print and digital promotional materials, including leaflets, brochures, social media graphics, and other marketing assets.
Produce promotional materials for upcoming events in collaboration with colleagues and wider Textile Institute stakeholders.
Drive the promotion of Institute activities through partner organisations and membership networks.
Update event webpages and maintain the Institute's online calendar of events.

Business Development, Partnerships & Stakeholder Engagement

Build and maintain positive working relationships with members, speakers, guests, sponsors, exhibitors, and suppliers.
Identify, develop, and maintain sponsorship and partnership opportunities for Institute events and activities.
Work proactively with Corporate Members, Sections and Special Interest Groups to coordinate, promote, and support their events, providing marketing, design and administrative assistance where required.
Develop relationships with potential partners and stakeholders to increase engagement with Institute activities and events.
Identify opportunities to enhance member engagement, participation and value through Institute events, partnerships, and collaborations.
Support the growth of the Institute’s networks by developing strong relationships with industry, academic and professional partners.
Develop and coordinate the development of new training opportunities with colleagues and external partners.
Identify and develop new training opportunities in collaboration with colleagues, members, and external partners.

Budget Management

Prepare and monitor event budgets to ensure events are delivered within agreed budgets.
Process event-related invoices and purchase orders.
Source competitive quotations from suppliers to ensure value for money.

Committee

Coordinate the administration of the Events Committee, including preparing agendas, circulating papers, recording minutes, and managing follow-up actions.
Build and maintain positive working relationships with Committee Members, Chairs, and volunteers to support effective collaboration and engagement.
Act as a key point of contact for Committee Members, providing guidance, communication, and coordination support to help deliver committee activities.
Maintain committee records, including membership details, roles, terms of office and succession planning information.

General

Represent the Institute professionally when dealing with members, partners, suppliers, and stakeholders.
Contribute ideas and recommendations to improve events, communications and member and stakeholder engagement.
Undertake other duties appropriate to the role as required.
