Full job description

Personal Assistant / Operations Support

Part-time hours considered – ideally around 9.30am–2.30pm, Monday to Friday

We are looking for a highly organised, confident and inquisitive person to work closely with our Managing Director in a varied role that sits somewhere between Personal Assistant, Operations Coordinator and the MD’s “eyes and ears” around the business.

This is a role for someone who genuinely likes to understand how a business works.

It would suit someone who is naturally organised, comfortable with computers, confident speaking to people at all levels and, importantly, does not wait to be told what to do.

You may be working on a spreadsheet or preparing information for the MD one minute, then walking around the yard or visiting one of the offices the next because you have spotted something that needs understanding or following up.

What will you be doing?

The role will be varied. Some days will be very busy and others may involve more routine or mundane administration — so we need someone who is happy to get stuck into whatever needs doing.

Your responsibilities may include:

Helping the MD with day-to-day administration and business information.
Helping with programme and workload planning.
Tracking staff allocation to jobs and keeping an overview of who is where each day.
Maintaining clear and accurate records and spreadsheets.
Producing information for the MD in a visual and easy-to-understand format, including graphs, bar charts and other presentations.
Gathering information from different parts of the business and bringing it together so the MD can quickly see what is happening.
Walking around the offices, yard and other areas of the business to understand what different people do and where support may be needed.
Keeping the MD informed about what is happening generally across the business — not just through reports, but through conversations and observation.
Following up on actions and making sure things do not get forgotten.
Helping with planning, coordination and general business administration.
During quieter periods, potentially visiting sites to assist with Health & Safety administration.
With training and support, potentially helping to deliver toolbox talks or other basic H&S communications to site staff.
Assisting with general H&S and ISO administration where required.
Taking on new responsibilities as you learn more about the business.

The person we are looking for

Personality and approach are more important to us than having a long list of qualifications.

We need someone who is:

Highly computer literate — this is essential.
Very confident using spreadsheets and comfortable working with data.
Able to turn information into clear visual presentations, rather than simply producing lists of figures.
Open to the use of AI and to exploring new technology.
Highly organised and able to keep track of multiple things at once.
Confident enough to walk into an office, introduce themselves and ask questions.
Naturally inquisitive — someone who wants to understand why something is done, not simply be told what to do.
Self-motivated and able to spot things that need doing without waiting for instructions.
A good communicator who is comfortable speaking to office staff, management and site personnel.
Practical and sensible, with good judgement.
Comfortable moving between different types of work and dealing with changing priorities.
Discreet and trustworthy.
Someone who can recognise when the MD needs information, input or a conversation — and equally importantly, when he needs to be left alone to get on with something.
Willing to get out from behind the desk and understand the business first-hand.

You don't need to know everything already

What matters much more is your attitude towards learning.

For example, you might start with little or no H&S knowledge and, through asking questions, taking an interest and learning how things work, gradually become involved in H&S and ISO administration.

That is exactly the sort of attitude we are looking for.

If you see something you don't understand, we want you to ask.

If you think there is a better way of doing something, we want you to say.

If you notice something happening in the business that the MD should know about, we want you to tell him.

This isn't a traditional PA role

There will certainly be administration, spreadsheets, planning and organisation involved, but this isn't a role where you sit at a desk waiting for the next task.

We want someone who will get up, walk around, talk to people, learn what they do and understand what is happening across the business.

You will become an important source of information for the MD and, over time, someone who understands enough about the whole business to see where things are going well, where something needs attention and where you may be able to help.

The role can be part-time and could work particularly well for someone looking for school-friendly hours, for example 9.30am–2.30pm. There may also be some flexibility around the exact hours for the right person.

What would make you stand out?

You don't necessarily need a particular qualification.

You might come from a PA, administration, operations, project coordination, office management or planning background — or from something completely different.

What will make you stand out is being the sort of person who:

sees something → asks questions → learns → organises it → communicates it clearly → gets on with the next thing.
