Service Administrator

ByWater Services Ltd
Coalville, Leicestershire (Office Based)

Salary: £26,000–£28,000 per year (depending on experience)

Job Type: Full-time, Permanent

Hours: Monday to Thursday 8:30am – 5:00pm | Friday 8:30am – 4:00pm

ByWater Services is one of the UK's leading providers of water treatment, drainage, wash bay and environmental compliance solutions. We work with many of the country's largest transport operators, utility companies and commercial organisations.

We're looking for an organised, enthusiastic and customer-focused Service Administrator to become an integral part of our Operations team.

This is a varied role combining service administration (60%), accounts support (20%) and general office administration (20%), making it ideal for someone who enjoys variety and wants to develop within a growing business.

What you'll be doing Service Administration (Main Responsibility)

Process completed engineer jobs ready for invoicing.
Prepare quotations and customer documentation.
Process service reports, certificates and compliance paperwork.
Support engineer scheduling and service planning.
Process maintenance contract renewals.
Liaise with customers, engineers and suppliers.
Maintain accurate records within our CRM/job management system.
Ensure customer enquiries are handled efficiently from start to finish.

Accounts Support

Process purchase and sales invoices.
Assist with credit control.
Match supplier invoices and receipts.
Assist with supplier payment runs.
Process employee expenses and timesheets.
Maintain accurate financial records.

General Administration

Answer incoming calls and emails.
Support the wider Operations, Sales and Finance teams.
Order office supplies.
Prepare meeting rooms and documentation.
Maintain electronic filing systems.
Assist with general office administration and business support.

What we're looking for

Essential:

Excellent organisational skills.
Strong attention to detail.
Confident using Microsoft Office (Word, Excel & Outlook).
Excellent communication skills.
Professional and friendly telephone manner.
Ability to prioritise a varied workload.
Positive, proactive attitude.

Desirable:

Experience within a service or engineering business.
Previous accounts administration experience.
Experience using CRM or job management software (e.g. Protean or similar).
