Job Summary

We are seeking a highly organized and proactive Experienced Office Admin to join our dynamic team! In this vital role, you will be the backbone of daily office operations, ensuring smooth workflows and efficient administrative support. Your energetic approach and attention to detail will help foster a productive environment, enabling our team to focus on their core objectives. This position offers an exciting opportunity to utilize your extensive office experience, computer skills, and organizational talents to make a meaningful impact every day. Salary negotiable depending on experience.

Duties

Manage daily administrative tasks including scheduling appointments, coordinating meetings, and maintaining calendars with precision and enthusiasm
Handle incoming calls with professionalism and courtesy, demonstrating excellent phone etiquette at all times
Perform data entry and maintain accurate records
Prepare correspondence, reports, and presentations that are clear, concise, and well-organized
Oversee office supply inventory, place orders as needed, and ensure the workspace remains tidy and functional
Assist with billing processes, invoicing, and financial record-keeping using QuickBooks
Support clerical functions such as filing, scanning documents, and managing electronic document systems to streamline operations

Requirements

Proven office experience with a strong background in administrative support roles
Excellent computer skills including proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Docs, Sheets), and data entry tools
Demonstrated organizational skills with the ability to multitask efficiently in a fast-paced environment
Strong typing skills with attention to accuracy and speed
Knowledge of QuickBooks or similar accounting software is highly desirable
Exceptional phone etiquette combined with excellent communication skills
Previous clerical experience that showcases reliability and attention to detail
