Job Overview

We are seeking an energetic and detail-oriented Administration Assistant to join our dynamic team. In this vital role, you will provide essential administrative support to ensure the smooth and efficient operation of our office. Your proactive approach, organizational skills, and positive attitude will help foster a productive work environment. This paid position offers an excellent opportunity to develop your administrative expertise while contributing to a collaborative team dedicated to excellence.

Responsibilities

Manage daily office operations, including filing, data entry, and document management
Answer incoming phone calls with professionalism and courtesy, directing inquiries appropriately
Maintain organized records using Microsoft Office applications, Google Workspace, and QuickBooks as needed
Assist with scheduling appointments, meetings, and calendar management for team members
Perform clerical tasks such as photocopying, scanning, and preparing correspondence
Support invoicing and expense tracking through QuickBooks or similar accounting software
Ensure office supplies are stocked and reorder supplies proactively to prevent shortages

Skills

Proven office experience with strong organizational skills and attention to detail
Proficiency in computer skills including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Drive), and basic data entry
Excellent phone etiquette with the ability to communicate clearly and professionally
Demonstrated administrative experience supporting busy teams or departments
Strong typing skills for efficient document creation and data input
Familiarity with clerical tasks such as filing, record keeping, and scheduling
Ability to adapt quickly to new software tools like QuickBooks and other office management systems
