Job Summary

We are seeking a proactive and organized Administrative Assistant to support our dynamic team! In this vital role, you will be the backbone of daily operations, providing essential administrative support to ensure smooth and efficient office functions. Your energetic approach and attention to detail will help foster a productive work environment, enabling our team to focus on achieving their goals. This paid position offers an exciting opportunity to develop your skills in a fast-paced setting while contributing to the overall success of our organization.

Duties will involve also some bookeeping activies.

Duties

Manage and coordinate daily office activities, including scheduling meetings and maintaining calendars
Handle incoming calls with professionalism, demonstrating excellent phone etiquette and customer service skills
Perform data entry tasks accurately using computer skills, including Microsoft Office and Google Workspace applications
Prepare, organize, and file documents, reports, and correspondence efficiently
Assist with invoicing and financial record keeping using QuickBooks or similar accounting software
Support team members with clerical tasks such as photocopying, scanning, and mailing documents
Maintain organized records of office supplies, equipment, and administrative files

Requirements

Proven office experience with strong organizational skills and attention to detail
Proficiency in computer skills, including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
Prior administrative experience demonstrating effective multitasking abilities
Excellent phone etiquette with clear communication skills
Strong typing skills for efficient data entry and document preparation
Familiarity with QuickBooks or similar financial software is a plus
Ability to perform clerical tasks accurately and efficiently in a fast-paced environment
