Full job description

Job Summary:
We are looking for a confident, organised and proactive individual.

This varied role involves managing tenancy renewals, ensuring properties remain legally compliant, arranging and carrying out property viewings and inspections, coordinating maintenance, and acting as a key point of contact for landlords, tenants, contractors and suppliers. The successful candidate will enjoy taking ownership of their workload, have excellent organisational skills, and provide outstanding customer service.

Previous property experience is desirable but not essential. Full training will be provided for the right candidate who is eager to learn and has strong communication and administrative skills.

Compliance & Renewals

Manage tenancy renewals from start to finish, ensuring all legal and compliance requirements are completed before renewal documents are issued.
Monitor and arrange all statutory property compliance, including:
Gas Safety Certificates (CP12)
Electrical Installation Condition Reports (EICR)
Energy Performance Certificates (EPC)
Smoke & Carbon Monoxide Alarm Checks
Legionella Risk Assessments (where applicable)
Maintain accurate compliance records and ensure certificates are renewed before expiry.
Liaise with landlords, tenants and contractors to arrange compliance appointments.
Keep compliance logs, property files and internal systems fully up to date.

Lettings

Arrange and conduct property viewings with prospective tenants.
Register applicants and match them with suitable available properties.
Obtain viewing feedback and provide updates to landlords.
Assist with tenancy progression, referencing and move-in preparation.
Support the marketing of available properties and ensure listings remain accurate.
Assist with preparing tenancy documentation where required.

Property Management

Carry out routine property inspections and prepare detailed inspection reports with photographs.
Identify maintenance issues during inspections and arrange remedial works.
Coordinate contractors and monitor repairs through to completion.
Respond to tenant maintenance enquiries and provide regular updates.
Assist with check-ins, check-outs and inventory administration when required.

Administration

Raise and process invoices, ensuring all costs are accurately recorded and authorised.
Communicate with utility providers, local authorities, suppliers and contractors regarding property matters.
Maintain accurate property records, supplier databases and digital filing systems.
Answer telephone and email enquiries professionally and efficiently.
Support the wider lettings and property management team with administrative duties as required.

Customer Service

Build strong relationships with landlords, tenants, contractors and applicants.
Deliver a professional, friendly and efficient service at all times.
Keep clients informed throughout the lettings, compliance and property management process.
Resolve queries promptly while maintaining a high standard of customer care.

Skills & Attributes

Confident, organised and able to manage multiple tasks simultaneously.
Excellent communication and interpersonal skills.
Strong attention to detail and high level of accuracy.
Ability to prioritise workloads and work independently.
Good IT skills, including Microsoft Office and property management software (training provided if required).
Numerically confident and comfortable processing invoices and tracking costs.
Positive attitude with a willingness to learn and develop within the property industry.
Full UK driving licence preferred due to property visits and inspections.
