Job Summary

We are seeking a dynamic and highly organized Virtual Administrative Assistant to join our team in a fully remote capacity. This role offers the flexibility of working from home while providing essential administrative support to ensure smooth daily operations. The ideal candidate is proactive, detail-oriented, and possesses excellent communication skills. You will be the backbone of our administrative functions, managing schedules, handling correspondence, and maintaining accurate records to help our business run efficiently and effectively.

Responsibilities

Manage and coordinate calendars, appointments, and meetings with precision and professionalism
Handle incoming calls with excellent phone etiquette, directing inquiries appropriately
Perform data entry tasks accurately using various software tools such as Microsoft Office, Google Workspace, and QuickBooks
Prepare and organize documents, reports, and correspondence for internal and external stakeholders
Maintain organized digital files and records to ensure easy retrieval and security of sensitive information
Assist with invoicing, billing, and financial record keeping using QuickBooks or similar accounting software
Support various administrative projects as needed to facilitate team productivity and operational efficiency

Skills

Proven office experience with a strong understanding of administrative procedures
Proficiency in computer skills including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Gmail, Drive, Calendar)
Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
Strong typing skills for efficient data entry and document preparation
Knowledge of QuickBooks for basic bookkeeping tasks is a plus
Exceptional phone etiquette with clear communication abilities
Experience with clerical tasks such as filing, scheduling, and correspondence management
Familiarity with data entry processes and maintaining accurate digital records
