Formed in 2018 through the merger of three internationally recognised eye surgery practices, OCL Vision exists to deliver world-class vision correction with a level of personal care that matches the calibre of our clinical expertise. Our consultants are leaders in their fields, and our flagship clinic in Central London, alongside our Hertfordshire sites, sees patients who are trusting us with something deeply personal: their sight.

As we continue to grow, we're looking for a Patient Coordinator who shares our commitment to trust, teamwork, and excellence.

The Role

A Patient Coordinator at OCL Vision sits right at the intersection of clinical operations and patient experience. You'll be the consistent, reassuring presence patients rely on from their very consultation through to their final follow-up appointment.

Some patients arrive anxious. Some have waited years to finally do something about their vision. Your job is to meet every one of them with clarity, warmth, and complete professionalism, while keeping the operational side of the business running precisely.

You'll work directly alongside a consultant, becoming an extension of their practice: managing their diary, coordinating their surgical lists, and making sure nothing falls through the cracks. It's a role that rewards people who are naturally organised, genuinely care about the people they're helping, and take pride in getting the details right.

A typical day might involve

Starting the day by reviewing the consultant's diary, confirming upcoming consultations and surgeries, and flagging any gaps or conflicts
Speaking with patients ahead of their procedures, walking them through pre-op instructions, answering questions, and easing any nerves
Counselling patients on their treatment options, costs, and what to expect, in a way that's honest and sets realistic expectations
Processing new bookings and working proactively toward monthly surgery targets
Updating patient records in Medisight and Compucare, ensuring every note, result and communication is logged accurately
Preparing surgery packs and confirmation letters, and getting them out by post or email in good time
Fielding phone calls and Intercom messages, some routine, some urgent, all handled with the same level of care
Liaising with the wider clinical team, theatre staff, and other coordinators to keep the patient pathway moving smoothly
Following up post-surgery to check on recovery and, where appropriate, inviting happy patients to leave a review on Trustpilot, Google, or social media
Troubleshooting the inevitable curveball: a rescheduled surgery, a billing query, a patient who needs extra reassurance

Who thrives in this role

This role suits someone who is equal parts organiser, communicator, and problem-solver. You'll need to be:

Detail-obsessed. Missed information in a patient record or a diary clash isn't a small thing in healthcare; it matters, and you'll treat it that way.
Calm under pressure. Diaries change, patients get anxious, phones ring at the wrong moment. You'll need to stay composed and solutions-focused.
A genuine people person. You'll be having sensitive, sometimes emotional conversations with patients and their families. Empathy and clear communication go a long way.
Target-driven but patient-first. You'll be working toward surgery booking goals, but never at the expense of giving patients honest, appropriate advice.
Trustworthy with confidential information. You'll have access to sensitive medical and financial data, and discretion is non-negotiable.
Comfortable with systems. You'll be moving between Medisight, Compucare, email, Intercom and Microsoft Office throughout the day, so digital confidence matters.

Essential experience and qualifications

GCSEs in English Language and Mathematics (or equivalent)
Previous experience working within an eye-related or ophthalmic organisation
Proficient computer skills, including Microsoft Office
Strong organisational skills and the ability to juggle competing priorities
Excellent written and verbal communication
Sound judgement, decision-making, and problem-solving ability
A confident team player who respects process and protocol
Energy, self-discipline, and a genuine passion for customer service
A positive attitude with a clear drive to hit targets
