Full job description

Overview
We are seeking a highly organised and detail-oriented individual to support the Executive team as an Administrative Assistant to the Company. This role involves providing comprehensive administrative support, managing correspondence, and ensuring smooth daily operations within a professional office environment. The ideal candidate will possess excellent organisational skills, proficiency in relevant software, and a professional demeanour to effectively assist the Director in achieving organisational goals.

Duties

Manage and maintain and checking sales documents and bank statements
Prepare and organise documents, reports, and presentations using Microsoft Office and Google Workspace for vat and Paye
Handle incoming correspondence via email, phone, and postal mail with professionalism and courtesy
Perform data entry tasks accurately within QuickBooks and other relevant systems
Assist with organising meetings, including booking venues and preparing agendas
Maintain filing systems both digitally and physically to ensure easy retrieval of information
Support with administrative projects as required, including research and report compilation
Ensure all office supplies are stocked and order new supplies as needed
Uphold excellent phone etiquette when communicating with clients, vendors, and internal teams

Skills

Proven experience with Office applications such as Microsoft Office (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Calendar)
Strong organisational skills with the ability to prioritise tasks effectively
Experience with apple and Microsoft or similar accounting software is desirable
Previous administrative or clerical experience in an office setting is preferred
Excellent data entry skills with high accuracy and attention to detail
Proficient in computer skills
Good telephone etiquette and professional communication skills
Ability to adapt quickly to new software or procedures as required by the organisation
