Project Coordinator – Washroom Fit-Outs
Are you highly organised, commercially aware and confident coordinating several projects at once?
We are looking for a proactive Project Coordinator to take ownership of the day-to-day delivery of our commercial washroom fit-out projects. This is a varied role where you will coordinate customers, suppliers, installation teams and internal departments to ensure every project is delivered safely, accurately and on time.
This position would suit someone who enjoys keeping projects moving, solving problems and making sure that no detail is overlooked.
About us
CareSpaces, part of Wealden Rehab, designs and delivers specialist accessible environments that help people live with greater independence and dignity.
Our projects include accessible bathrooms, changing facilities and specialist washroom installations for healthcare, education, care and commercial environments throughout the UK.
We are growing and are looking for someone who can bring structure, pace and excellent communication to our project delivery team.
The role
You will coordinate commercial washroom fit-out projects from order confirmation through to installation, snagging and final handover.
You will act as the central point of communication between customers, site teams, suppliers, subcontractors and colleagues across sales, warehouse, finance and operations. You will be responsible for maintaining clear project plans, ensuring materials and labour are available when required, and resolving issues before they affect delivery.
This is a hands-on coordination role. You will need to be comfortable managing competing priorities, communicating with construction professionals and taking ownership of projects from beginning to end.
What you’ll be doing
- Coordinating multiple washroom fit-out projects simultaneously, from order through to completion
- Producing and maintaining project programmes, installation schedules and handover plans
- Planning and scheduling installation teams, engineers and subcontractors
- Liaising with customers, site managers, architects, main contractors and suppliers
- Ordering and tracking materials to ensure they arrive in line with installation dates
- Working with the warehouse, sales team and credit control to confirm that projects are ready to proceed
- Monitoring project progress and resolving scheduling, supply or logistical issues
- Preparing project documentation, including RAMS, programmes, variations and completion records
- Tracking project costs and supporting the management of project budgets
- Preparing progress reports for customers and the management team
- Attending sites when required to review progress, resolve issues and monitor quality
- Coordinating snagging, final inspections, customer sign-off and project handover
- Maintaining accurate project logs, installation records, warranty information and other compliance documents
- Ensuring project activities comply with health and safety requirements, internal procedures and relevant quality standards
- Building effective working relationships with customers, suppliers and installation partners
What we’re looking for
- Experience coordinating construction, commercial interiors, installations or fit-out projects
- Strong organisational and time-management skills
- The ability to manage several live projects without losing control of the detail
- A proactive approach to identifying and resolving problems
- Excellent written and verbal communication skills
- Confidence communicating with customers, site managers, contractors and suppliers
- The ability to remain calm and effective when priorities change
- Good commercial awareness, including an understanding of project costs and deadlines
- Competence using Microsoft Excel, Outlook and Word
Useful experience
Experience in any of the following would be advantageous but is not essential:
- Commercial washrooms, bathrooms or accessible environments
- Construction or interior fit-out projects
- Reading drawings, specifications or project programmes
- Building regulations and construction health and safety requirements
- RAMS and site compliance documentation
- Project management, job-tracking or ERP software
- Coordinating subcontractors or installation teams
- Snagging, inspections and project handovers
The person
You will be:
- Highly organised and detail-focused
- Proactive and comfortable taking ownership
- A confident and professional communicator
- Practical and solutions-oriented
- Customer-focused
- Able to work independently while contributing to a wider team
- Comfortable working in a fast-moving project environment
- Committed to delivering high-quality work
How success will be measured
- Projects completed safely and on schedule
- Projects delivered within agreed budgets
- Customer satisfaction
- Effective scheduling and utilisation of installation teams
- Accurate project records and reporting
- Prompt resolution of installation and supply issues
- Minimal defects and snagging
- Effective cost control and supplier coordination
- Achievement of project delivery and revenue targets
