Full job description

Job Summary

We are seeking an experienced, organised and dependable Accounts / Office Administrator to support the effective day-to-day running of our finance and office administration functions within a growing crew transfer and marine services company.

The role combines hands-on accounts administration with wider office support. The successful candidate will be confident using accounting software, maintaining accurate financial records, working to deadlines and communicating professionally with colleagues, suppliers, clients and external advisers.

Applicants must have a minimum of five years’ practical experience working in an accounts-based role and demonstrable experience using accounting software. This is a varied position suited to someone who is comfortable taking ownership of routine accounts processes while also supporting general office administration in a busy operational environment.

Duties

Process purchase invoices, sales invoices, credit notes and expenses accurately and promptly.
Maintain the purchase ledger and sales ledger, ensuring records are complete and up to date.
Carry out bank, supplier statement and credit-card reconciliations.
Prepare and issue customer invoices and supporting documentation in line with contractual requirements.
Monitor aged debt, follow up outstanding invoices professionally and maintain clear records of correspondence.
Prepare payment schedules and support the approval and processing of supplier payments.
Assist with payroll administration, timesheets, overtime, expenses and relevant supporting records.
Prepare financial information, reports and documentation for management, accountants and auditors.
Maintain accurate digital and paper filing systems, including appropriate document retention and confidentiality controls.
Support the Office Manager and wider management team with general office administration, correspondence, meeting arrangements and record keeping.
Assist with procurement, office supplies, travel and accommodation bookings where required.
Answer telephone and email enquiries and provide a professional first point of contact for the company.
Work collaboratively with crewing, operations, HSE and technical departments to ensure information is complete and provided within required timescales.
Identify opportunities to improve administrative and accounts processes and contribute to continuous improvement.

Skills

A minimum of five years’ practical experience working in an accounts or finance administration role.
Demonstrable experience using accounting software to manage day-to-day financial transactions and records.
Experience of purchase ledger, sales ledger, invoicing, reconciliations and credit control.
Strong working knowledge of Microsoft Excel, Word and Outlook.
A high level of numerical accuracy and attention to detail.
Ability to manage competing priorities, meet deadlines and maintain accurate records in a busy office environment.
Confident written and verbal communication skills, including professional communication with customers and suppliers.
Ability to handle commercially sensitive, payroll and personal information with discretion and confidentiality.
Proactive, reliable and able to work independently while contributing positively to the wider team.
Good problem-solving skills and the confidence to query discrepancies or incomplete information.
Full valid UK driving licence.

Desired but not essential

A recognised bookkeeping, accounts or finance qualification, such as AAT or equivalent.
Experience using cloud-based accounting software such as Sage, Xero, QuickBooks or an equivalent system.
Experience supporting payroll, VAT records, month-end processes or audit preparation.
Experience working within the maritime, offshore, construction, engineering or other operationally focused sector.
Knowledge of procurement, travel coordination or general HR administration.
