Office & Enquiries Manager

Location: Speakeasy Therapy Centre, Swithland, Leicestershire (Office-based)
Hours: Full-time (Monday-Friday)
Salary: £40,000-£50,000 per year (depending on experience)

At Speakeasy Therapy, we believe every child deserves the opportunity to thrive. Our multidisciplinary team of Speech & Language Therapists, Occupational Therapists and specialist professionals support hundreds of children, families, schools and Local Authorities across the Midlands and beyond.

We're growing rapidly, and we're looking for an experienced Office & Enquiries Manager to become the operational heartbeat of our therapy centre.

About the role

This is far more than a traditional office management role.

You'll be the first point of contact for many of our families, schools and Local Authority partners, making sure every enquiry is handled professionally, compassionately and efficiently.

Behind the scenes, you'll coordinate therapist diaries, manage referrals, oversee Local Authority cases, produce operational reports and help us continually improve the systems that keep our services running smoothly.

No two days are the same, making this a fantastic opportunity for someone who enjoys variety, responsibility and making a real difference.

What you'll be doing

You'll play a key role in the day-to-day running of Speakeasy Therapy by:

Managing all telephone, email and face-to-face enquiries.
Supporting families through the referral and booking process.
Coordinating assessments and therapy appointments across our clinical team.
Managing Local Authority referrals from enquiry through to service delivery.
Preparing quotations, processing purchase orders and setting up new cases.
Producing operational reports, waiting list data and service performance information.
Helping improve systems, processes and reporting as we continue to grow.
Overseeing the smooth running of our therapy centre, including office administration and supplier management.
Working closely with our therapists, service managers and leadership team to deliver an exceptional service.

About you

We're looking for someone who is highly organised, confident and proactive, with a genuine passion for delivering outstanding customer service.

You'll ideally have:

Experience managing a busy office or operations function.
Excellent organisational skills with the ability to juggle multiple priorities.
Strong communication skills and a warm, professional manner.
Confidence using Microsoft Office and digital systems.
Experience producing reports and analysing data.
Great attention to detail and strong problem-solving skills.
The ability to work independently while being a supportive team player.

It would be great if you also have:

Experience working within healthcare, education or children's services.
Experience working with Local Authorities or schools.
Experience coordinating therapist or clinician diaries.
Experience using Monday.com or similar project management software.
A passion for improving systems and finding more efficient ways of working.
