Job Overview

THIS IS A PART-TIME ROLE / WEEKDAYS 4PM-9PM AND WEEKENDS 9AM-3PM

Join our vibrant martial arts community as a Dojo Receptionist! In this dynamic role, you'll be the friendly face that welcomes students, parents, and visitors, ensuring a positive and organised experience from the moment they walk through the door. Your energetic approach will help create a welcoming atmosphere, while your administrative skills keep the front desk running smoothly. This paid position offers an exciting opportunity to be the first point of contact in a lively dojo environment, contributing to students' motivation and overall satisfaction.

Responsibilities

Greet students, parents, and visitors warmly, providing excellent customer service with enthusiasm and professionalism
Manage student check-ins and check-outs efficiently using computer systems and access control tools
Answer incoming phone calls promptly, addressing enquiries about classes, belt testing, or schedules, and directing calls to appropriate instructors
Handle administrative tasks such as data entry, scheduling classes and private lessons, and maintaining student records using Momence booking software
Assist with daily front desk operations including organising memberships, processing payments and tuition, and updating student information
Monitor stock and cleaning supply levels, placing orders or flagging shortages to ensure the dojo is always well-stocked and hygienic
Maintain a clean, organised reception area and viewing space that reflects a welcoming environment for all guests
Support clerical tasks such as filing, photocopying, and managing correspondence to ensure smooth office operations
Assist with coordinating special events such as belt gradings, tournaments, and seminars

Skills

Proven front of house experience with strong organisational skills to handle multiple tasks seamlessly
Proficiency in computer skills
Excellent phone etiquette with the ability to communicate clearly and professionally over the phone
Strong typing skills for efficient data entry and record keeping
Previous administrative experience in a customer-facing role is highly desirable
Ability to stay organised in a fast-paced environment while maintaining attention to detail
Great communication between dojo owners and instructors as you will be the link between the two
