ROLE TITLE: Administrator (Business Support Officer)

REPORTS TO: The post holder will report to the senior leader

JOB Overview:

Monday to Friday F/T Hybrid working home and office (based in Preston) allowing for childcare hours

JOB PURPOSE:

The post holder will be responsible for providing the administrative and media support to Community Pharmacy Lancashire & South Cumbria (CPLSC), both the Exec/committee and the team.

The role has a strong emphasis on collaborative and flexible working, operating within defined processes to ensure appropriate governance is always maintained and activity is delivered within agreed timescales.

This is a key outward facing role for CPLSC

DIMENSIONS:

Financial: Indirect responsibility for an annual budget.

Staff: Responsible for supporting members of CPLSC, the staff and Treasurer

Other: Building and maintaining relationships with circa 370 contractors and their pharmacy teams, and other core stakeholders across Lancashire and South Cumbria

Location: Office based Preston but hybrid working

ESSENTIAL

Microsoft 365 Proficiency - Teams, Word, Excel, Powerpoint, Outlook,

Calendar scheduling and admin support for Execs

Professional Telephone Mannerism and Confidence

Social media awareness with content creation and edits

Minute taking

Previous experience in administrative, operational, or business support role

Administrative Support: Manage day-to-day office operations, including correspondence, filing, document management

Very experienced in excel/ spreadsheet/ coding

PRINCIPAL ACCOUNTABILITIES:

Support delivery of the operational and governance plans of CPLSC
Build and maintain accurate records
Provide secretarial services including document archiving and maintenance of distribution groups
Support effective communication with committee members, contractors and all other stakeholders
Work within all the agreed business processes
Maintain accurate financial records to allow payments in line with business process and delegated authorities for payment
Respond appropriately to all queries within agreed service level agreements
Identify ways of working to increase efficiencies
Use the agreed administrative system(s)
Prepare and analyse data to identify trends
Effective diary management of oneself and CEO
Greet and assist any visitors to CPLSC
Facilitate and support CPLSC in contractor engagement visits
Organise meetings and relevant diary management
Manage the bulletin and social media pages by writing and posting updates and responding to comments and messages
Market CPLSC to stakeholders by creating appropriate content for a variety of channels to grow and develop the CPLSC brand over time
Update and maintain the website, using website analytics to ascertain the relative effectiveness of ongoing campaigns and understand the way users interact with the site
Deliver the agreed key objectives and deliverables within agreed deadlines
Maintain confidentially and governance arrangements in line with statutory and regulatory requirements
Maintain knowledge of latest pharmacy policies and guidance, best practice, views of national pharmacy organisations and other LPCs
Manage resources and activity with agreed budget

CONTEXT:

Community Pharmacy Lancashire & South Cumbria (CPLSC) is the name adopted by Lancashire & South Cumbria Local Pharmaceutical Committee (LPC).

In England LPCs are the recognised statutory bodies that represent community pharmacy contractors in discussions about locally commissioned pharmacy services and the role of the sector in the wider health and care system in their defined region; whilst providing advice and support to pharmacy contractors to help them deliver both nationally and locally commissioned services.

Every community pharmacy with an NHS contract is represented by the relevant LPC for their area. CPLSC being one of the largest in England representing circa 370 community pharmacy contractors in Blackburn with Darwen, Blackpool, Lancashire & Westmorland and Furness.

CPLSC conducts its business in line with the LPC Constitution, and within financial, regulatory and contractual frameworks defined in UK law.

RELATIONSHIPS:

Subordinates: None

Superior(s): Working under the direct responsibility of the Senior Leader and working with CPLSC Chair and Chairs of Sub-groups. Supporting the work of the Treasurer

Other contacts: A member of the CPLSC staff. Develop and maintain relationships with stakeholders, the pharmacy teams and contractors

Engagement and delivery of CPLSC work priorities

Solid organisational skills including attention to detail and multitasking
Marketing and writing copy including Social Media – e.g. Twitter, Instagram, Facebook, LinkedIn and CPLSC website
Knowledge of website analytics
Understanding brand guidelines and use across all channels
Effective time management skills to deliver to tight time scales
Ability to juggle competing priorities and operational pressures
Ability to work as part of a team
High level of discretion and judgment

JOB CHALLENGE:

Ensuring that the work plan of CPLSC is delivered despite conflicting priorities and timescales.

Be flexible to attend evening / weekend sessions when required to support contractors and CPLSC events.

Have a full driving license and ability to travel away from the base if needed

To carry out other duties commensurate with the post as required or directed by CPLSC/CEO
