Job Overview

A & R Miles Limited is a growing construction and property renovation company specialising in high-quality residential and commercial refurbishment.

As our business continues to grow, we are looking for an organised and customer-focused Office & Customer Support Administrator to join our team. This role has been created to support our Office Manager and help ensure the smooth day-to-day running of the office while delivering an exceptional experience for our clients and suppliers.

The Role

Working under the direction of the Office Manager, the Office & Customer Support Administrator will provide administrative and customer service support across the business.

You will be one of the first points of contact for our clients, suppliers and visitors, ensuring every interaction reflects the professional and customer-focused values of A & R Miles Limited.

This role is fundamental to maintaining the smooth operation of the office, supporting the wider team and ensuring continuity of service during periods of annual leave, sickness and continued business growth.

Responsibilities

Act as one of the first points of contact for clients, suppliers and visitors.
Answer incoming telephone calls professionally and efficiently.
Monitor and respond to the company email inbox.
Welcome clients and visitors to the office.
Book appointments and site visits.
Confirm appointments with clients.
Keep clients informed throughout their project journey.
Request customer feedback and online reviews following project completion.
Deliver outstanding customer service at every stage of the customer journey.
Office Administration
Prepare quotations, invoices, letters and general correspondence.
Maintain accurate electronic filing systems.
Scan and upload project documentation.
Update company databases and job management systems.
Prepare job files and project documentation.
Raise purchase orders and process supplier paperwork.
Order office supplies and stationery.
Assist with general office administration to ensure the smooth running of the business.
Business Support
Provide administrative support to the Office Manager.
Support the Managing Director, Contracts Manager and Estimators with administrative duties.
Assist with Health & Safety documentation and compliance records.
Maintain accurate company and project records.
Support continuous improvements to office systems and administrative processes.
Office Continuity
Work closely with the Office Manager to ensure the office operates efficiently every working day.
Provide support during periods of annual leave, sickness and planned absences.
Help ensure uninterrupted service to clients and suppliers.
Carry out additional administrative duties appropriate to the role as the business continues to grow.

Essential Requirements and Desirable Skills

Previous experience in an office administration or customer service role.
Excellent organisational skills and attention to detail.
A professional and confident telephone manner.
Excellent written and verbal communication skills.
Strong IT skills, including Microsoft Office (Word, Excel and Outlook).
Ability to prioritise multiple tasks and work to deadlines.
Ability to work independently and collaboratively within a team.
A genuine passion for delivering outstanding customer service and creating a positive experience for every client.
Experience within the construction or property industry.
Experience using Sage Accounts or similar accounting software.
Experience using CRM or job management systems.
Experience working in a busy office environment
