About the Role
Dunfermline Chiropractic Clinic is looking for a friendly, organised and proactive Chiropractic Assistant to join our growing team.
This is much more than a traditional reception position. Our Chiropractic Assistants are central to the patient experience and the smooth running of the clinic. You will be one of the first people our patients meet, helping them feel welcomed, listened to and confident throughout their time with us.
As a family-focused clinic, we are seeing an increasing number of parents, children and whole families attending together. This means the role is especially important in creating a calm, welcoming and supportive environment for patients of all ages, helping both adults and children feel comfortable and cared for from the moment they arrive.
The clinic can be busy and fast-paced, so we are looking for someone who enjoys working with people, communicates confidently and can remain calm and organised while managing several responsibilities.
Previous chiropractic or healthcare experience is not essential, as full training will be provided.
Working Hours and Shift Pattern
Our current clinic opening hours are:
- Morning: 9:00am–1:00pm
- Afternoon/evening: 2:00pm–7:00pm
The role will usually involve a mixture of morning and afternoon/evening shifts across the week.
A typical morning shift will involve arriving at approximately 8:30am to prepare the clinic for opening and remaining after the final morning appointment to complete administrative tasks and prepare the clinic for the afternoon. Morning shifts will typically finish at approximately 1:30pm.
A typical afternoon/evening shift will involve arriving at approximately 1:30pm to prepare for the afternoon session. The clinic closes to patients at 7:00pm, with the shift typically finishing at approximately 7:30pm once closing procedures have been completed.
Some additional flexibility will be required to provide cover for colleagues during holidays, sickness and other periods of absence.
As the clinic continues to grow, we intend to extend our opening hours. This may create opportunities for additional working hours in the future, including Saturday shifts.
Specific contracted hours and the expected weekly shift pattern will be discussed during the recruitment process.
Key Responsibilities
Your role will include:
- Welcoming patients and creating a warm, professional clinic environment for individuals, parents, children and families
- Opening and closing the clinic in accordance with clinic procedures
- Checking patients in and helping the clinic run efficiently and on time
- Managing appointment bookings, changes, confirmations and follow-up communications
- Answering telephone calls, emails and patient enquiries
- Explaining clinic procedures, appointment types, care plans and payment options clearly
- Supporting new patients as they progress from their initial consultation through their recommended care
- Processing payments and maintaining accurate financial records
- Maintaining accurate patient information and protecting confidentiality
- Preparing consultation and assessment rooms for the chiropractors
- Keeping reception, assessment rooms and patient areas clean, organised and presentable
- Communicating effectively with chiropractors and other members of the team
- Identifying and helping to resolve gaps in the appointment diary
- Contacting patients regarding missed, cancelled or outstanding appointments
- Supporting clinic events and patient education activities, including those aimed at families and children
- Completing general administrative duties required for the efficient running of the clinic
This is not a clinical treatment role. You will not be expected to diagnose conditions, provide clinical advice or make clinical decisions.
Social Media and Marketing
We are also interested in applicants who may have skills or experience in social media, content creation or marketing.
For the right candidate, there may be an opportunity to support the growth of the clinic’s social media presence and wider marketing activities. This may include:
- Liaising with our social media manager regarding clinic strategy and upcoming campaigns
- Helping to gather ideas, photographs and video content from within the clinic
- Supporting the creation of educational and promotional content
- Helping to coordinate clinic events, community initiatives and marketing campaigns
- Ensuring that clinic content reflects our values and the experience we provide to patients and families
Social media or marketing experience is desirable but is not essential for the role.
About You
You may be a good fit for this role if you are:
- Naturally friendly, welcoming and comfortable speaking with a wide range of people, including children and families
- Confident communicating in person, by telephone, by email and by text
- Highly organised, with strong attention to detail
- Reliable, punctual and able to take responsibility for your role
- Comfortable working a mixture of morning and evening shifts
- Able to provide occasional additional cover when required
- Comfortable working in a busy environment where priorities can change
- Able to remain calm and professional when dealing with sensitive situations
- Confident using computers and willing to learn new systems
- Proactive and able to recognise what needs to be done without always waiting to be asked
- Interested in health, wellbeing and helping people improve their quality of life
- Supportive of a positive, team-based working environment
- Comfortable discussing appointments, care recommendations and payment options with patients
- Willing to contribute ideas and support the continued growth of the clinic
Desirable Experience
Experience in any of the following would be beneficial but is not essential:
- Reception or front-of-house work
- Healthcare, dental, fitness or wellbeing settings
- Customer service or hospitality
- Appointment diary management
- Handling payments and administrative records
- Working towards customer service, booking or patient-retention targets
- Social media management or content creation
- Photography, video editing, graphic design or digital marketing
- Supporting promotional events or community engagement activities, including family-focused events
