Opportunity at RRG Omoda Jaecoo Oldham - Sales Administrator
Working x 37.5 hours per week Monday - Friday Salary £24,784.50

We are looking for a highly organised Sales Administrator to ensure our cars move seamlessly from coming into stock to on sale. If you have a keen eye for detail and thrive in a fast-paced environment, we want to hear from you.

Duties include vehicle paperwork and compliance, where you will handle all the documentation tied to vehicle sales, including registration forms, finance agreements, invoices, and ownership transfers, often dealing with Driver and Vehicle Licensing Agency (DVLA) records, and ensuring everything is legally correct. You will work closely with the Sales Management team to ensure a seamless journey for our customers from buying to collecting their new car.

Processing sales orders, once a salesperson closes a deal, you step in to input the order into the system, check pricing, apply discounts, and confirm payment details. You will be AFRL trained and will be responsible for taxing and registering brand new vehicles ready for customer deliveries, this will include contacting Toyota GB directly for support with unlocking showroom vehicles to tax or to chase up the delivery of a delayed vehicle.

Stock control & vehicle records, pushing job cards to our parts & workshop departments, keeping track of incoming and outgoing vehicles is a big part of the role. Ordering new vehicles from the manufacturer including private, fleet and demonstrator tagged vehicles. You will update internal systems with vehicle details, specs, and availability so the sales team always has current information. You will also liaise with other centres in our group regarding site transfers of vehicles, you may also occasionally be asked to cover administrator duties for another RRG site for annual leave as they will cover your duties when you take leave.

Finance & invoicing support, you prepare invoices and ensure payments are received before vehicles are released, often liaising with our accounts team. As a part of this you will be required to complete some administrative work for the site’s daily banking including reconciling card terminal readouts & cash payments from customers for the accounts department.

Customer communication, while not a direct sales role, you often contact customers to confirm details, arrange delivery or collection dates, and ensure paperwork is signed and complete, this will also include customers private number plate assignment to their new vehicle.

Coordination with internal teams, you act as the link between sales, accounts, service, and sometimes logistics, making sure vehicles are prepped, taxed, and ready for handover.

Data entry and reporting, maintaining accurate digital records including customer GDPR preferences is a major part of the job. You may also produce reports on sales performance, stock levels, or outstanding deals.

General admin duties, this includes filing, scanning, answering calls, handling emails, managing the sites control of vehicles listed on the motor insurance database and supporting the sales team with day-to-day tasks.

Administer all aspects of the site’s CBS scheme, from quoting for new vehicles up to final taxing & delivery.
