Job Overview

We are seeking a dynamic and highly organized Office & Practice Administrator to join our team! In this vital role, you will be the heartbeat of our office operations, ensuring smooth daily functions and exceptional customer service. Your proactive approach and attention to detail will help create an efficient, welcoming environment for staff, clients, and visitors alike. This position offers an exciting opportunity to contribute to a thriving practice by managing administrative tasks with enthusiasm and professionalism.

Duties

Oversee daily office operations, including managing schedules, appointments, and correspondence to ensure seamless workflow
Provide outstanding customer service by greeting visitors, answering inquiries, and directing them appropriately
Maintain organized filing systems and manage documentation with accuracy and confidentiality
Coordinate meetings, prepare agendas, and handle logistical arrangements for practice events or team gatherings
Assist with billing, invoicing, and basic financial record-keeping to support practice administration
Conduct analysis of operational processes to identify efficiencies and implement improvements
Support team members with administrative needs, including supply management and equipment maintenance

Qualifications

Proven experience in administrative roles within a professional setting preferred
Strong analysis skills to evaluate workflows and suggest enhancements for efficiency
Excellent customer service skills with a friendly, professional demeanor
Exceptional organizational skills to manage multiple tasks effectively in a fast-paced environment
Proficiency in office software such as Microsoft Office Suite (Word, Excel, Outlook) or similar tools
Ability to communicate clearly and professionally both verbally and in writing
Demonstrated ability to handle confidential information discreetly and responsibly
