Full job description

Role is for 16 hours per week (Term time only) with flexible working hours across 3 to 5 evenings a week (rota) and occasional Saturday cover workload.

About the role

This is a hands-on, and multi-tasking role that would suit someone who is proactive, highly organised, and capable of working independently. Initiative, reliability, and the ability to manage multiple responsibilities are key skills required for this role.

The Front of House Coordinator role reports to the Building Maintenance and Services Manager but will be required to liaise and respond to situations reported directly by other members of staff and building users, which includes Members.

The building is a large (1,000 square metre), 4 storey Victorian industrial building in Maida Vale that has been converted for use as the headquarters and training centre for a prestigious mental health organisation. It is in use six days a week for 15 hours a day.

The working will require a flexible approach depending on the day-to-day requirements. Hours will generally be expected to be covered during the core evening period of 7pm to 10pm 3 to 5 days a week (rota depending on building activity) adjusted to cover weekend events when applicable (notice given).

Main responsibilities

Front of House duties

Act as the primary point of contact for visitors, guests, and event attendees during evening hours
Greet all visitors in a professional and friendly manner
Manage front desk operations, including answering queries and directing visitors appropriately
Ensure all visitors and event attendees sign in according to building procedures
Maintain accurate sign-in/out records
Monitor access to the building, ensuring only authorised individuals gain entry
Deliver a high standard of customer service to visitors
Handle enquiries, issues, and unforeseen situations calmly and professionally

Event and Meeting Room Setup

Prepare meeting rooms and event spaces in line with booking requirements (e.g. layout, furniture, equipment, catering)
Check rooms in advance to ensure readiness and cleanliness
Reconfigure rooms between meetings and events as required

Building Security and Monitoring

Oversee building security during evening hours
Conduct checks of the premises to ensure safety and security
Respond appropriately to alarms, incidents, or security concerns in line with procedures
Ensure all areas are vacated appropriately at the end of events
Secure meeting rooms and communal spaces
Lock and secure the building in accordance with closing procedures

Building Maintenance and Services Support

Support the Building Maintenance and Services Manager with ad hoc tasks and operational duties as required
Provide cover for building-related responsibilities during absences or peak periods
Assist with basic maintenance reporting and coordination of issues
Ensure adherence to all building health and safety policies
Assist with emergency procedures, including fire evacuations if needed
Maintain awareness of fire exits, safety equipment, and emergency protocols
