Assistant Practice Manager

Harrow Road Health Centre, 574 Harrow Road, London W10 4NJ

Responsible To

GP Partner — Dr Jason Remedios

Contract

Permanent

Hours

22.5 hours per week (3 days)

Salary

£16,380 per annum pro rata (£14.00/hour starting rate)

Pay review

£15.00 – £16.00/hour at 6 months, subject to performance

Holiday

28 days + bank holidays (pro rata)

The Role

To support the day-to-day running of a small, busy GP surgery, providing administrative, operational and patient services support to the GP Partner. The role suits someone with GP admin experience who is ready to take on more responsibility and develop their skills in practice management.

Key Responsibilities

Patient Services

First point of contact for patients in person, by phone and electronically.
Manage and monitor the appointment system, ensuring good patient access.
Handle patient concerns and complaints in line with NHS procedures.
Maintain accurate patient records and support new patient registrations.

Administration

General administrative support to the GP Partner and clinical team.
Manage correspondence including referrals, letters and clinical documents.
Process repeat prescriptions in line with practice protocols.
Maintain electronic and paper filing systems.
Support clinical IT system tasks (SystmOne) including registration and data entry.
Order and manage practice supplies.

Staff & Rota Support

Assist with staff rotas, annual leave and absence records.
Help coordinate cover and flag staffing issues to the GP Partner.
Support induction of new staff and maintenance of HR records including DBS and training logs.
Ensure GP cover is sourced and booked in a timely fashion.

Compliance & Governance

Maintain CQC compliance documentation and evidence files.
Keep health and safety records up to date including fire safety, risk assessments and infection control.
Ensure GDPR and data protection obligations are met day-to-day.
Keep mandatory training records current for all staff.

Finance

Process invoices and petty cash.
Assist with QOF monitoring and enhanced service administration.
Basic financial record-keeping as directed by the GP Partner.

Premises

Ensure the practice is safe, clean and welcoming.
Liaise with maintenance contractors and report issues to the GP Partner.
Maintain basic premises compliance records.

Person Specification

Essential

At least 1 years’ experience in a GP surgery or NHS primary care admin role.
Experience using EMIS Web or SystmOne.
Experience dealing with patients face-to-face and by phone.
Good working knowledge of GP practice processes.
Competent in Microsoft Office (Word, Excel, Outlook).
Understanding of patient confidentiality and data protection.
Good written and verbal communication skills.
GCSE English and Maths at Grade C/4 or above (or equivalent).
Reliable, discreet and able to work with a degree of autonomy.

Desirable

Experience of CQC compliance documentation.
Knowledge of NHS GMS contract and QOF.
Experience in a deputy or senior admin role.
NVQ Level 3 in Business Administration or equivalent.
Ambition to develop towards a full Practice Manager role.
