Job Summary

As the Assistant Operations Manager (AOM) you support the Managing Director (MD) by deputising in their absence. Your role is to oversee the day-to-day operations to ensure we operate safely, efficiently and in a financially viable way. This is an exciting new role that will be based at our office in Ashbourne. The role is a great opportunity for someone from the PSV transport sector or someone looking for a new challenge. We are a Community Transport Company that is a registered charity but the charity also owns a company that holds a PSV operator licence. Because of this we want to ensure that the role plays a crucial part in our safe and compliant operations. We therefor will need the new AOM to hold a PSV Transport Manager CPC qualification or be willing to complete it with our support.

Our office is open Monday-Friday but our operation is 7 days a week. We take it in turns to become a duty officer as a point of contact for our driver teams. This means that on a rotational basis you will hold the duty officer phone for out of hours calls so some evening and weekend availability is required.

Core responsibilities typically include:

Daily Operational Support help in delivering the charity and business strategy.

- Ensure that rotas are completed in a timely manner with a contingency plan for absences.

- Evaluate Opportunities to grow or reduce costs.

- Communicate with other local charities and PSV operators to help identify trends and opportunities.

- Input invoices into HubDoc to ensure our suppliers are paid on time

- Review outstanding payments and follow up with the debtor

- Ensure that the office has appropriate cover to undertake all tasks

- Identify efficiency improvements

Compliance & Risk Management: Ensuring the company functions efficiently and complies with all legal and regulatory standards.

- Operational first escalation route

- Work with the vehicle coordinator the ensure that we are operating inline with our operator and vehicle licencing.

- Regularly perform driving licence checks

- Be a contract point of contact

- Conduct return to works and evaluate absence

- Coordinate facilities management

- Act as a Fire Marshal

- Manage the fleet standards through telematics ensuring that vehicles are not only mechanically safe but cosmetically in line with our company standards.

- Holiday planning to ensure that we are managing contract downtime and ensuring appropriate levels of cover.

- Help the MD create policies and procedures that reduce risk and improve efficiency

- Onboard new starters and ensure compliance to contractual and legal requirements

Stakeholder & Client Relations: Acting as the main day-to-day management route

- Proactively manage customer complaints as the first point of escalation.

- Evaluate and visit local establishments to see if we can help each other’s goals

- Engage with suppliers to strengthen our relationships

Team Leadership & Management: Setting a good example and maintaining high employee morale

- Supporting with recruitment

- Supervising staff and coaching behaviours

- Delegate workload and tasked where appropriate

- Hold team engagement sessions to update on KPI's

- Lead internal communications through colleague update communications

- Support external communications through updating stakeholders and celebrating successes through social media platforms

- Drive excellence through service, ensuring that we maintain and improve the customer experience.

Pay: £29,000.00-£35,000.00 per year
