Job Type: Full-time

We are looking for a confident, organised and experienced Commercial & Property Operations Manager to help oversee the day-to-day running of a busy property investment portfolio.

The company owns and manages a large portfolio of commercial property assets across multiple companies. We already have admin support in place, so this role is not a basic administration position. We are looking for someone who can take ownership, lead & manage people, organise assets, improve internal systems and help ensure the portfolio is being run properly and efficiently.

This role would suit someone with strong experience in commercial property, operations management, team management, facilities/property coordination or property portfolio management.

Main Responsibilities

The role will include:

Overseeing the management and organisation of multiple commercial properties (shopping centres, office buildings, industrial warehouses, retail, car park management, development projects.
Managing and supervising office staff, admin staff and internal workflows.
Making sure tasks are properly delegated, followed up and completed.
Creating better systems for tracking assets, leases, contractors, maintenance, compliance, insurance, utilities, service charges and deadlines.
Keeping the directors updated on key property matters, risks, issues and progress.
Coordinating with internal staff, contractors, agents, solicitors, surveyors, architects, accountants and other professional advisers.
Helping improve how the office operates so that urgent matters are not missed or delayed.
Reviewing property information and making sure each asset has clear records, files and action plans.
Supporting the directors with decisions relating to property performance, lettings, works, tenant issues and asset improvement.
Ensuring the team follows up on instructions, viewings, enquiries, maintenance issues and property deadlines.
Helping identify where systems, staffing or processes need to be improved.
Taking a proactive role in organising the portfolio rather than waiting for instructions.

The Ideal Candidate

We are looking for someone who is:

Experienced in commercial properties portfolio, operations management, facilities managsment or property portfolio management.
Confident managing staff and delegating tasks.
Very organised and able to bring structure to a busy office.
Able to manage multiple properties, companies and priorities at the same time.
Strong at problem-solving and following matters through to completion.
Comfortable dealing with senior management, tenants, contractors and professional advisers.
Able to create systems, trackers, reports and clear processes.
Confident using emails, spreadsheets, shared folders and management systems.
Professional, reliable, team player and able to work independently.
Strong enough to take ownership of the role and help the business become more organised.

Experience Required

Previous experience in one or more of the following would be highly desirable:

Commercial property asset management
Property portfolio management
Property operations management
Office management within a property/investment company
Facilities management
Managing admin or property teams
Working with landlords, tenants, contractors and agents

Pay: £35,000.00-£50,000.00 per year
