Overview

Join our dynamic team as an Office Admin Assistant and become the backbone of our daily operations! This energetic role is perfect for someone who thrives in a fast-paced environment, loves organizing, and enjoys supporting a busy office. You’ll be the go-to person for administrative tasks, ensuring smooth communication, efficient data management, and a welcoming atmosphere for staff and visitors alike. Your proactive approach and attention to detail will help keep our office running seamlessly every day.

Responsibilities

Manage customer communication answering phone calls with professionalism and courtesy and responding to emails.
Maintain organized records through data entry, filing, and document management using Microsoft Office and Google Workspace tools
Assist with scheduling work rota, meetings, and coordinating office activities to optimize workflow
Process invoices, receipts, and financial documents using QuickBooks or similar accounting software
Support team members with administrative tasks such as preparing reports, drafting correspondence, and managing calendars
Ensure office supplies are stocked and equipment is maintained to support daily operations
Perform general clerical duties including photocopying, scanning, mailing, and organizing files to keep the office efficient

Requirements

Proven office experience with strong organizational skills and attention to detail
Proficiency in computer skills including Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Drive, Calendar), and basic data entry techniques
Previous administrative experience in a professional setting is preferred
Excellent phone etiquette with the ability to communicate clearly and professionally
Strong typing skills for efficient document preparation and data management
Knowledge of QuickBooks or similar financial software is a plus
Ability to multitask effectively while maintaining accuracy in a fast-paced environment
