Overview

We are seeking a dynamic and detail-oriented Office Administrator/Bookkeeper to join our team! This vital role combines efficient office management with accurate financial record-keeping, ensuring our operations run smoothly and our financial data remains precise. As an integral part of our organization, you will support daily administrative functions while managing bookkeeping responsibilities with enthusiasm and professionalism. This position offers an exciting opportunity to contribute to a vibrant workplace environment while honing your skills in accounting software and financial processes.

Duties

Manage daily office operations, including greeting visitors, handling correspondence, and organizing meetings to keep the office running seamlessly
Maintain accurate financial records using popular accounting software Xero and Tradify, Construction AI.
Process accounts payable by verifying invoices, preparing payments, and ensuring timely vendor settlements
Reconcile bank statements and credit card transactions regularly to ensure data accuracy
Assist with payroll processing and employee expense reimbursements
Subcontractor CIS varification/deductions and payments
Quarterly VAT returns, reconcilation and payment
Support the preparation of financial reports, budgets, and audit documentation as needed
Organize and maintain filing systems for both administrative documents and financial records to ensure easy retrieval and compliance
Proven experience in office administration combined with bookkeeping responsibilities in a fast-paced environment
Proficiency in accounting software such as Xero is essential; familiarity with multiple platforms is a plus
Strong understanding of accounts payable processes and general ledger management
Excellent organizational skills with keen attention to detail and accuracy in data entry
Ability to prioritize tasks effectively while managing multiple responsibilities simultaneously
Excellent communication skills, both written and verbal, to collaborate across teams and vendors
Prior experience working with various accounting tools and maintaining financial records is highly desirable
