Job Title: Operations Support Officer

Salary: £25,878 – £26,455 FTE per annum (£13,988 actual)

Hours: 20 hours per week (5 hours per day over 4 days)

Contract: Permanent

Location: Office-based at 29 Palace Avenue, Paignton. TQ3 3EQ

Start date: As soon as possible (subject to notice period)

At Citizens Advice Torbay, you’ll be part of a friendly and supportive team making a real difference to people across our community. This is a great opportunity to develop your skills in IT support, administration, training coordination and project work within a purpose-driven organisation.

About the role

This is a varied and essential role supporting the day-to-day running of the charity.

You’ll:

Help maintain and develop our IT systems and provide day-to-day support to staff and volunteers
Support office administration and ensure systems and processes run smoothly
Assist with recruitment, induction and training of volunteers
Help organise meetings, training events and internal processes
Support project work, including maintaining data and producing reports
Work closely with colleagues, volunteers and partner organisations

From troubleshooting IT issues to coordinating meetings and supporting projects, you’ll play a key role in enabling the service to run effectively.

While the role can be busy at times, you’ll be part of a collaborative team where support and learning are part of everyday working life.

What we’re looking for

We’re looking for someone who is:

Organised, proactive and able to manage a varied workload
Confident using IT systems and supporting others with them
A clear communicator with good written and verbal skills
Comfortable working with data, reports and administrative systems
Approachable and patient when supporting colleagues and volunteers
Able to work independently and as part of a team

You’ll need good working knowledge of Microsoft 365 and general IT systems, along with strong administrative skills.

Experience in a similar role is helpful, but not essential — full training will be provided.

Overall Purpose of the Post:

Ensure that the charity’s IT systems are maintained in accordance with Citizens Advice policies
Provide administrative support to the Supervisor Team and the charity
Support administration of training
Ensure that administrative systems and office services are in place and implemented to ensure the smooth running of the office
Support with the administration of projects

Key work areas and tasks:

Information Technology

Ensure that IT systems and telephones in use within the charity are updated and maintained as necessary
Ensure that workers (paid and unpaid) using IT systems and telephones are trained and competent in their use
Use IT as required for the role
Provide day to day support to paid staff and volunteers with IT issues
Support the volunteer communications team and step-in to cover them when required (social media and website posts)

Training Support

Complete administration for recruiting and appointing new volunteers and trustees
Prepare interview and induction materials
Keep recruitment and training resources up to date
Review, promote and book training for volunteers and paid staff
Provide support at training events or courses
Provide administrative support for recruitment events

Correspondence, reports and other documents

Word process letters, documents and reports and format as required
Maintain statistics and collate and produce to a prescribed format
Produce information from spreadsheets and databases
Co-ordinate collection of data from the internal team to produce reports for external partners (e.g. projects)

Administration

Use photocopier and other office machines, as appropriate
Create and maintain filing systems in accordance with the charity's systems and procedures
Answer the telephone and refer calls or take messages
Send and respond to emails
Provide administrative support to the supervisory team e.g. contact clients to make appointments, deal with cancelled appointments as we find out about them, pick up voicemail messages and emails, maintain shared calendars
Maintain oversight of the Business Continuity Plan

Meetings

Attend appropriate internal and external meetings as agreed with the line manager or supervisor

Project Coordination

Monitor capacity of partners to take referrals using a data collection tool
Produce a quarterly impact report and contribute to the creation of this report (including statistics and case studies)
Input data into a project progress tracker quarterly
Take notes in partnership meetings (can be remote) and circulate with partners after the meeting

Other duties and responsibilities

Help to arrange events
Abide by health and safety guidelines and share responsibility for own safety and that of colleagues
Any other relevant administrative and support duties required to ensure the smooth running of the charity
Ensure that work undertaken reflects and supports the Citizens Advice service’s equality and diversity strategy
Attend relevant internal and external meetings as agreed with your line manager
Take personal responsibility for your own actions and for sorting out issues or problems that arise
Review and make recommendations for improvements to the service

Pay: £25,878.00-£26,455.00 per year
